The Role
We are looking for a highly organized and dedicated office coordinator to support our dynamic team in our Berlin office and report to our office manager in the London office.
The ideal person will play a central role in the smooth daily office organization, providing administrative and operational support while driving our recruiting activities to attract and retain talented new colleagues.

Office Management Responsibilities
- Managing visitors: greeting, reception, directing to the appropriate colleagues, and notifying relevant contacts.
- General administrative tasks such as mail handling, courier services, ordering gifts/incentives, and office supplies.
- Ensuring meeting rooms are always tidy and preparing meetings as needed.
- Communicating with the landlord and facility team to resolve any issues in the office.
- Identifying and β if possible β resolving issues in the office independently or forwarding them to the office manager.
- Supporting projects such as office relocations, workspace changes, or health and safety inspections.
- Distributing company-wide information to employees.
- Managing the shared email inbox and handling incoming queries.
- Providing administrative support to the team, including scheduling, calendar management, and correspondence.
- Coordinating travel bookings and itineraries.
- Conducting health and safety inspections, documenting, and reporting incidents.
- Managing and administering service providers and suppliers, ensuring an organized and efficient office infrastructure.
- Ordering team lunches as needed.
- Primary contact for internal and external stakeholders.
Recruiting and HR Responsibilities
- Screening resumes for open positions, scheduling initial interviews, and coordinating interviews with candidates and hiring managers.
- Supporting the onboarding process by preparing documents, coordinating IT setup, and accompanying new employees during their introduction.
- Assisting with offboarding to ensure a smooth exit process for all departing employees.
- Coordinating with the HR team to ensure all employee data is up to date.
- Helping to organize employee events and engagement initiatives.
