Shifts: 22.5 hours per week, working Monday, Tuesday, Wednesday 8.30am to 5pm with 1 hour lunch unpaid

Williams Lea seeks a Multi Services Assistant to join our team!

Purpose of Role
The role of Multi Services Assistant is a key position in Williams Lea reporting to the Multi Services Team Leader. This role manages the daily operational and administrative operations of the Mail Room department including establishing work priorities, ordering stock, client facing responsibilities, Mail distribution, occasional reception cover and general administrative tasks.
Key Responsibilities
- Handling incoming and outgoing mail
- Records management
- Ensure all deadlines are met and renegotiate those that are unachievable in a proactive fashion by liaising directly with the client.
- To deal with any issues raised by escalating these to your line manager as and when required
- To ensure that all logs, forms and work related administration are completed in an appropriate manner
- Work tidy and safe at all times ensuring stock is stored in the appropriate storage areas
- To escalate any potential operational or Health & Safety issues to your line manager.
- Appraisals to be completed and returned in accordance with the instructions as given by your line manager
- Health & Safety issues to be raised to a member of the management team or your representative in a prompt fashion
- To promote the core aims and values of Williams Lea on site
- To ensure that any training needs are requested in writing to your line manager.
- Dealing with customer requests (Email, phone and in person)
- Checking stock levels of paper, reprographic supplies, stationery cupboards & general supplies
- Ordering stock, ad-hoc requests, printed matter, reprographic supplies, etc.
- Delivering Ad-hoc requests
- Occasional support in other departments when required
Personal Attributes
- Office administration experience
- Exemplary level of customer focus, with demonstrable experience in a customer service environment
- Well presented with a professional manner
- Flexible, computer literate and a quick learner
- Confident effective communicator at all levels, both written and oral, with excellent writing and numeracy skills
- Hands on team worker
- High degree of attention to detail, ability to retain high levels of concentration in a busy working environment
