Key responsibilities include:
- Daily maintaining and managing bookings of armored vehicles, updating consumption and ensuring accurate records of the fleet inventory.
- Receiving transport demands for both soft and armored vehicles, arranging necessary preparedness for trips, and undertaking vehicle check-ups upon trip concludes.
- Undertaking regular checks for the stores condition, registering new items, issuing items to requesters, and updating the system upon any issuance.
- Preparing requests for guest house groceries, attaching requests in the system, receiving items, and ensuring materials are fully onboard.
- Receiving cargos, offloading, preparing custom clearance, and transporting items to respective units or storing for general use.
- Preparing supplies list for the office/guest house requirement, including food/non-food items.
- Creating service enter sheets and goods receiving notes in the system upon services and goods are physically received.
- Creating wings and petty cash PRs for guest house and other office expenses.
- Preparing visitor gate passes for all outgoing assets, equipment, or other valuable materials.
- Focal point of compound related works for WFP Galkayo AO and ensuring guest house services are attended on time.
- Responsible for dispatching and receiving pouches between respective offices.
- Preparing meetings by organizing avenues, stationery, and facilitating visitor's passes.
- Purchase of required items on petty cash level for guest house/office.
- Maintain, update guest house and office stocks, and prepare monthly reports.
- Monitor and ensure that works done by casuals and contractors are performed promptly and as per the agreement.
- Coordinate housing and guest house accommodations for WFP and non-WFP staff.
- Manage transport facilities, allocating vehicles & drivers for airport, tiny movement, field visits, and meetings.
- Alternatively facilitating any all-admin tasks out of my respective for the office when needed.
- Alternatively monitoring generators and vehicles supplies availability, receiving fuel, oil, spares, and updating consumption.
- Alternatively in charge of supervising services, including facilities, light vehicles management and spares, travel protocol related, and observing fuel consumption.
- Alternatively in charge of procurement tasks including purchases, initiating requests for quotation, arranging tender opening committee meetings, preparing minutes, drafting evaluations and recommendations, and creating MPOs in the system for selected vendors.
- Alternatively arranging office procurement tasks by identifying relevant suppliers and undertaking office procurement process.
- Alternatively managing asset movements, records, relocation updates, receiving new asset equipment.
- Alternatively controlling fuel used by the armored vehicles, validating in FMS immediately when used.
- Alternatively responsible for HR tasks, including managing attendance, leave requests, separation forms, reporting, and welcoming newly hired staff.
Qualifications, experience, and skills required:
Education: Secondary school certificate or University Degree/Diploma in Social Sciences, International Development, Business Administration, or a related field.
Experience: At least two (2) years of relevant work experience with a Secondary School Certificate, or a University Degree (Diploma/Bachelor's) with a minimum of one (1) or more years of relevant experience in general administrative work.
Language: Fluent knowledge (proficiency/level C) of English and Somali language.
Knowledge and Skills Required:
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
- Knowledge of work routines and methods in order to complete processes under minimal supervision.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Ability to identify data discrepancies and rectify problems requiring attention.
