Reporting to the Management Services Officer, the incumbent will coordinate, support and provide effective delivery and maintenance of client-focused, value-for money-oriented quality administrative practices in the management of facilities.
1. Check the provision of a range of services, including facilities management and maintaining information, to contribute to the provision of a safe and comfortable environment in all premises.
2. Coordinate and manage all premises maintenance teams and services and any repairs required in all premises including administering and overseeing external suppliers/service providers for office maintenance, office cleaning, drinking water supply, stationery suppliers, cleaning products, etc., coordinating with Procurement and Finance units to ensure all data is accurately and timely recorded, processed in WFP corporate system and any operational issues addressed; in addition to carrying out performance assessments and managing of relative POs;
3. Manage accommodation services including tenancy management, client management, expenditure and revenue, and reporting ensuring cost effectiveness.
4. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
5. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures; including a Documents Tracking System for facilities management to ensure swift and easy data access as required;
6. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information for effective management of resources;
7. Be a first point of contact for CO internal queries (requests for office maintenance, stationery, furniture, office space allocation, etc. to facilitate the provision of efficient and effective resolution of daily issues;
8. Focal point for MPO creation and payments related to all premises.
9. Contribute to advancing Environmental Management System (EMS) in the country by monitoring energy/fuel use, water use and wastewater disposal, waste generation, and management; and provide input in related data collection exercises.
10. Focal point for OSH and support in improving the environmental performance of WFP Mozambique Operation, including safe waste disposal procedures, energy efficiency measures and in terms of Municipal solid waste (MSW) and electronic waste (e-waste) identifying the best options in terms of recycling possibilities in-country and outside.
11. Contribute to planning, monitoring, control and updating the budget management system for premises in CO and field offices.
12. Adapt, coordinate, supervise and update facility management processes, supporting the implementation of operating procedures in order to continue to the improvement of facility management services in the country.
13. Coordinate with Head of Field Offices in all facilities management activities and contribute to the continuous improvement of these services at field offices' level, including management and implementation of SOP/Manuals;
14. Provide training and guidance for staff in the interpretation of Facility Management procedures, processes and activities, and use a tracking system to ensure consistency and efficiency of services provided to all clients.
15. Support in management and coordination of internal and external events and during VIP visits to CYE;
16. Perform other related duties as required Head of support services
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience: At least 6 Years of related job experience.
Language: Fluency in both oral and written communication in English and Portuguese languages.
