Management Services Assistant

This position is to be filled in the Country Office of the World Food Programme (WFP) in Mauritania, based in Nouakchott. The incumbent will report to the Head of the Field Office.

At this level, the incumbent is responsible for the effective implementation of various management procedures and activities, relying on the standards and practices of WFP, while adapting them to the specific context of Mauritania. He/she must demonstrate autonomy, initiative, and discernment to interpret general directives and ensure the smooth operation of the organization.

Support the efficiency of the daily provision of specialized services, focused on the satisfaction of other colleagues and good value for money, within the management services portfolio.

Perform tasks and activities within the management services portfolio to support effective and high-quality service delivery. Collect data and prepare basic analyses to contribute to the creation of reports for effective resource management. Handle routine actions related to procurement, finance, human resources, and other relevant areas, contributing to the efficient and timely recording of data in the organization’s systems. Manage and maintain physical and digital records in accordance with established procedures to ensure quick and easy access to data, where applicable. Be the first point of contact for internal issues, providing quick and accurate responses to facilitate the effective resolution of daily problems. Participate in and suggest improvements to procedures and practices to support the continuous improvement of services provided. Use digital tools and technological applications to enhance work practices and service to colleagues. Provide administrative support for the preparation of inter-agency initiatives within the framework of the United Nations reform to achieve savings and improve service quality. Liaise with other functions and third-party contractors to enable effective service delivery. Provide guidance and direction to junior staff in the performance of their duties. Perform tasks of preparation and response to emergency situations following the guidelines provided by the supervisor.

Secondary school diploma. A post-secondary certificate in the relevant functional area is desirable.

At least five years of experience in the relevant field, including administrative work experience.

Demonstrated understanding of WFP’s management services regulations, policies, procedures, processes, standards, and systems.

Experience in collecting data and preparing basic analyses related to the management services portfolio, such as asset management, facilities, fleet, travel, or other similar areas.

Proven experience in providing advice and guidance to staff.

Experience working with teams in different functional areas.

Proficiency (level C) in French and/or intermediate knowledge (level B) of another official language may be required depending on the area of responsibility.
