Job Description

This position is to be filled in the field office of Adré. The incumbent may either provide support to the centralized program and report to the Assistant Manager or provide administrative support to teams hierarchically dependent on the Head of Office or the Chief of Service, or their deputy. When this position provides support in a specific sector, it may report to the head of the concerned unit, the Chief of Service, or their deputy. At this level, the work is performed under minimal supervision. The incumbent is expected to produce structured and precise work and conduct specific management assistance activities. He/she may provide guidance on common practices to other less experienced staff members working in their field of activity.

Objectives Attached To The Position

Perform routine management assistance tasks in a specialized field of activity to contribute to the effective provision of services.

Main Functions And Responsibilities (indicative and non-exhaustive list)

  • Gather information following clear guidelines to help other staff members in writing documents and preparing reports in the program.
  • Answer questions and escalate certain points to higher levels if necessary to provide reliable service in a timely manner.
  • Assist in processing and managing routine tasks in various program areas to contribute to effective and timely resource management.
  • Provide review and proofreading services for standard documents to contribute to the preparation of accurate documents.
  • Manage certain standard systems and files to ensure that information is reliable and easily accessible to the concerned service.
  • Identify simple anomalies in statistics and data, such as missing information, and escalate them to higher levels to assist service beneficiaries in their work.
  • Take responsibility for data integrity to ensure that information in internal systems is reliable.
  • Provide guidance on common management assistance methods and practices to less experienced colleagues to ensure that services are provided consistently and in accordance with required standards.
  • Work with people from diverse backgrounds, collecting information as needed to provide management assistance to staff.

Minimum Level Of Qualification And Professional Experience Required

Education: Completion of secondary education, a post-secondary diploma in the field of programs, sociology, or project management.

Professional Experience: At least four years of professional experience, at increasingly higher levels of responsibility, in the field of programs, supplemented by administrative work experience.

Knowledge and Skills:

  • Familiarity with office equipment and software such as Microsoft Word.
  • Knowledge of common procedures and methods to be applied to carry out the required work under minimal supervision.
  • Ability to demonstrate tact and courtesy when exchanging information with people from diverse backgrounds.
  • Ability to identify anomalies in data and correct problems that require special attention.
  • Ability to provide guidance or provide basic on-the-job training to less experienced staff members.
  • Language: Fluent in speaking and writing French.
