- Airtable Proficiency – High preference for candidates with prior Airtable experience to streamline projects and team organization
- Real estate background – not required, but could be an advantage.
Responsibilities of the Executive Marketing Assistant:
Your responsibilities include:
- Airtable Management
- Organize and manage all projects within Airtable
- Support the team in adopting Airtable as a central tool for project tracking and collaboration
- Maintain overall organization within the platform, ensuring resources, tasks, and updates are properly logged
- Oversee approval workflows for marketing and social media content, using Airtable as the central hub
- Newsletter Creation & Management
- Manage existing contact lists and build new audience segments within GoHighLevel
- Create and launch weekly newsletters, ensuring consistency and high-quality delivery
- Draft content, design layouts, and source visuals based on provided topics or key points
- Use AI tools (e.g., custom GPTs) to adapt written materials into the client's tone of voice
- Schedule and distribute newsletters after a final review, ensuring professional formatting and accuracy
- Social Media Management
- Increase online visibility and brand consistency across social platforms.
- Repurpose newsletter topics and past materials into engaging posts and campaigns
- Create short-form video reels (2–3 minutes) from existing course recordings and content libraries
- Monitor and respond to comments, messages, and inquiries on social channels, escalating important matters as needed
- Ensure content flow remains consistent, leveraging old assets to generate fresh, valuable content
- Lead Qualification & Nurturing
- Qualify leads based on pre-set criteria for coaching programs, courses, or investment opportunities
- Nurture high-quality leads through consistent communication and follow-ups
- Keep CRM records and pipeline stages updated and accurate within GoHighLevel
- Engage potential clients and investors on LinkedIn, initiating conversations and building relationships (Growth Responsibility)
- Email Management
- Maintain inbox organization with the goal of achieving "Inbox zero."
- Begin by managing specific emails forwarded by the executive or handling communications they loop you into
- Gradually expand responsibility as trust is built, eventually gaining full inbox access
- Implement systems for email filtering and organization, ensuring timely responses
- Manage communications by responding to general inquiries and escalating important emails
- Serve as a primary point of contact for clients once trust and processes are established
- Meeting & Research Support
- Conduct research and prepare briefing documents before key meetings, calls, or business referrals.
- Provide summaries, context, or talking points to ensure the executive is fully prepared.
- Calendar Management (Secondary Responsibility)
- Manage scheduling logistics, including blocking out time and setting reminders.
- Ensure all meetings are attended and conflicts are identified early.
- Communicate schedule changes or overlaps with both clients and team members.
- Protect focus time by building in breaks and avoiding calendar overload.
- Funnels & Automation (Growth Opportunity)
- Support in building funnels and automations within GoHighLevel over time.
- Collaborate with existing specialists as needed, eventually expanding into a larger role in this area.
