School District Office Manager for Student Services Department

This position provides confidential technical and secretarial support to the Director and Assistant Director of Student Services. This includes but is not limited to maintaining calendar and filing systems; making travel and conference arrangements; and assisting with the development and monitoring of grant applications and budgets. Areas may include but are not limited to department programs such as: Section 504, Counselors, District Discipline, HIB, McKinney Vento, Foster Care, Parent/Student/Patron Complaints, Staff/Parent/Patron communications and district publications. Greet parents, students and visitors entering the office; frequently deal with distraught or angry individuals; make determinations and provide assistance related to visitors' needs; answer inquiries from staff and public, observe confidentiality of those contacts; interpret, apply, and communicate appropriate district rules/procedures for the staff and public. Answer the telephone and respond to inquiries. Process requisitions, assign budget codes; check in and distribute merchandise and process paperwork. Act as backup for Discipline Specialist.

Minimum Qualifications:

  • High School Diploma or GED
  • School district secretarial experience and general knowledge of secretarial procedures
  • Effective written and oral communication skills in English and Spanish (Bilingual Required)
  • Ability to work effectively under pressure
  • Ability to maintain confidentiality
  • Ability to organize and set priorities; attention to detail
  • Record of strong customer service and organizational skills
  • Established record of dependability, flexibility, and regular attendance
  • Establish and maintain effective working relationships with vendors, students, parents, staff, community organizations and the general public
  • Skill in operating general office machines and computer software (such as Google Docs, Word, Excel, PowerPoint, Skyward and Publisher)

Other Functions and Responsibilities:

  • Create and maintain a variety of records, forms, documents and files
  • Compile, create, and process district, state and federal reports as required
  • Monitor budgets. (Including department grants)
  • Coordinate day to day operation of the department
  • Support department program meetings and professional development (Room reservation, calendar invites, agenda, sign-in sheets, minutes, clock hours and scheduling/contracting of presenters)
  • Respond to inquiries from staff, parents, students and public agencies
  • Assist other personnel as may be required to ensure an efficient and an effective work environment
  • Provide coordination for the Healthy Youth Survey
  • Support efforts to maintain compliance with state and federal law

Compensation and Benefits:

  • Pay Range $27.92 - 32.66
  • Full-time schedule Monday - Friday
