Program Coordinator

Housing & Food Services (HFS) has an outstanding opportunity for a Program Coordinator to join their team. HFS supports over 10,000 student residents and operates 40+ dining locations on campus. With a team of over 1,200 staff and students, HFS is dedicated to enhancing student life through teamwork and excellent service.

Position Purpose: Coordinate the Housing and Food Services' (HFS) student account and collection processes. The student housing and dining information systems, including the housing management and accounts receivable systems. These systems are unique to HFS with distinct agreements, policies, and procedures. While fiscal record-keeping is a dimension of this position, 70% of the work involves interpreting and applying policies and procedures for current students, parents, prospective students, UW Student Financial Aid, UW Student Fiscal Services, Residential Life, Admissions and the Registrar's Office.

Description of Duties:

  • Receive and resolve customer questions, challenges, or complaints regarding housing and dining accounts. Refer customers to other units or departments as necessary.
  • Resolve delinquent accounts, approve payment due date extensions, and involve other University departments as appropriate.
  • Provide oversight for the cash and check payments made in the office as well as the armored service deliveries.
  • Coordinate budget transfer process with campus partners who provide housing funding for student groups such as athletes, student leaders, academic programs.
  • Apply charges and credits to student accounts.
  • Process account adjustments for approved waivers, appeals, and exceptions.
  • Prepare, apply, and audit quarterly and monthly housing charges.
  • Prepare and send monthly and quarterly statements.
  • Prorate charges for new student move-ins, room changes, and vacates.
  • Perform audits and reconciliations of student accounts.
  • Prepare a monthly gaining report for students with overdue balances.
  • Review delinquent customer accounts and provide additional statement reminder at beginning of month.
  • Maintain current files of customers, including documentation of each contact with student.
  • Coordinate deactivation of meal cards for students with past due balances.
  • Coordinate the eviction process up to preparation of eviction letters for signature/approval.
  • Cross-train staff on student account processes and systems.
  • Prepare policies, correspondence and reports.
  • Perform other duties as assigned.

Minimum Qualifications: High school graduation or equivalent AND two years of customer service experience. Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

  • Ability to learn new software systems
  • Proficiency within MS Office and database applications.
  • Experience in accounts management related to billing and collection.
  • Experience interacting and advising students and other customers in a college or university.
  • Experience serving a diverse population in a large, complex department or organization (within student/university housing preferred).
  • Experience with StarRez Housing Management system software or equivalent.

Supervision Provided: The Student Accounts Coordinator works under general direction and reports to the Student Services Operations and Accounts Manager.

Position Dimensions: The position's assignments and workload vary seasonally, with continuous focus on how customer service, attention to detail and work volume are balanced to ensure work is completed. This position requires an understanding and recognition of the University's complex and decentralized environment, and of how to communicate and coordinate with campus partners, unit partners, and customers.

Working Conditions: The work schedule reflects regular weekday office hours.

Conditions of Employment:

  • A satisfactory outcome from a criminal background check is required prior to hire.
  • A satisfactory outcome from the employment verification and reference check processes is required prior to hire.
  • Membership in the Service Employees International Union (SEIU).

Compensation, Benefits and Position Details:

Pay Range Minimum: $46,332.00 annual

Pay Range Maximum: $61,920.00 annual
