A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company are important. You will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, take effective action without having to know the total picture, and have an innate curiosity to learn about new possibilities and act to explore them, adapting to ambiguity and change quickly. You will have ownership of busy executive calendars, requiring the ability to coordinate complex projects, meetings, and events. You must have a proven ability to plan ahead and manage time effectively, to quickly learn organizational structure and team objectives, and to adapt to Amazon's principles and environment. A good sense of humor is a must, as is the ability to be flexible and change direction at a moment's notice, work in a team environment, and build effective working relationships inside and outside the organization. This role requires five (5) days a week in office.

Key job responsibilities include:

  • Management of complex executive calendars with attention to accuracy, detail, and allocation of time to promote productivity and recognize the need to reprioritize as appropriate.
  • Executive travel planning, both domestic and international. Create detailed travel itineraries and coordinate with in-house travel agents to ensure smooth transitions between time zones; manage international travel processes including passport, visas, and any other applicable documentation.
  • Process expense reports, invoices, and purchase orders as needed.
  • Organize and manage meetings (including setting agendas and driving follow-up of action items) and events such as offsites, All Hands, Town Halls, and team-based social events.
  • Act as a liaison for direct reports.
  • Support annual operational planning process, business planning, and performance review cycles.

About the team: The Managed Operations (MO) organization is responsible for the security, availability, latency, performance, efficiency, change management, and monitoring to manage Regions for AWS. The team focuses on the day-to-day operations and removal of operational burden through long-term engineering projects, collaboration, and alignment with AWS development teams. MO is part of AWS Region Services, which owns defense- and intelligence-related offerings and programs that help protect national security as well as delivery of all AWS Regions worldwide.

Basic qualifications:

  • Experience with Microsoft Office products and applications
  • 5+ years of executive assistant experience
  • Experience handling ambiguous or undefined challenges through strong problem solving abilities
  • Experience that includes strong analytical skills, attention to detail, and effective communication abilities
  • Must be a US citizen

Preferred qualifications:

  • Experience leading process improvements
  • Experience designing processes to maximize efficiency
  • Experience in balancing conflicting priorities dealing with ambiguity
  • Can work proactively and independently, meet deadlines, and deliver on projects and tasks
  • Experience working in fast paced environments, and managing workload even during times of stress, or escalated activity
