Job Description

• Schedule and confirm investor meetings, internal calls, and site visits

• Keep the team calendar up to date and organized

• Update appointment setters on calendar availability

• Communicate effectively between team members

• Execute cold outreach via WhatsApp, email, and social media DMs

• Follow up with prospects and manage responses

• Update lead statuses in our CRM (GoHighLevel)

• Assign leads within the CRM

• Notify the sales team when high-intent leads need follow-up

• Make confirmation calls

• Send Zoom links (to be automated)

• Send confirmation emails (to be automated)

• Format proposals and reports

• Keep Google Drive and document systems organized

• Prepare summaries and send daily/weekly task updates

• Coordinate internal communications

• Respond to inquiries professionally and promptly

• Support appointment setters and closers with day-to-day admin tasks

• Proofread and edit documents

• Create Loom videos to help team members understand what information and support you need, ensuring we work as efficiently as possible

Must Haves

• This role is only open to Filipinos residing in the Philippines

• Excellent written and spoken English — must sound natural and professional

• Proven experience as a Virtual Assistant, Sales Assistant, or Administrative Coordinator

• Confident in using GoHighLevel, WhatsApp Web, Zoom, and Google Suite

• Detail-oriented, self-motivated, and quick to learn new systems

• Available to start immediately

Home Office Requirements

• Perfectly working headset and webcam

• Stable internet connection of at least 5 Mbps to 15 Mbps

• Up to date computer system with a minimum of Windows 8 or Mac OS X

• Quiet room with no distractions or background noises

• A backup plan if the power goes out or if your internet connection becomes unstable during your shift
