Position Title: Workforce Development Operations Support Specialist
Department: Workforce Development
Employment type: Full-time classified, non-exempt Position Purpose: The Operations (Support) Specialist provides administrative, logistical, and systems support for Piedmont Virginia Community College's workforce development programs, ensuring efficient day-to-day operations, accurate data management, and compliance with institutional, state, and grant funding requirements. This position serves as a central point for course setup, student registration processing, scheduling, and reporting, supporting both open-enrollment and contract training programs.
Duties and Responsibilities:
- Assists the Operations and Registrations Manager support the enrollment of students into workforce programs by guiding potential students through the enrollment and funding process.
- Support registering students for classes; processing transfers and/or refunds.
- Making and assembling class materials including rosters, certificates, instructor course packets; calling students.
- Responding to student concerns and complaints; helping prepare materials for events.
- Assisting instructors with room preparation and basic audio-visual setup for classes
- Submitting completion verification reports to government and professional agencies.
- Entering course grades to capture completion; tracking and entering credentials.
- Documenting enrollments, progress, and payments for FastForward, G3, and FANTIC.
- Performing daily financial transactions necessitated by student registrations, transfers, and cancellations as directed.
- Assisting with course/class setup and modification in the Workforce Enterprise System; securing and assigning rooms for classes.
- Other programming support tasks as directed by the Operations and Registrations Manager.

Minimum Qualifications:
- Knowledge of the role of workforce development within the college community and the services we provide.
- Knowledge of enrollment processes and workflows.
- Excellent oral and written communication skills, collaborative problem-solving skills, and organizational skills.
- Maintain an environment of strategic continuous improvement.
- Proficient in use of Microsoft Office, including Word, Excel, and PowerPoint.
- Strong interpersonal skills to help engage, provide support to, and effectively engage students.
- Troubleshooter: Ability to identify a challenge, determine options, and make a timely decision.
- Demonstrated experience leading simultaneous team tasks/projects to successful completion.
- Demonstrated commitment to community college philosophy and student success.
- Knowledge of workforce classes, fast track career training and other programs that could benefit a potential student.
- Proficiency with PeopleSoft student information system or Lumens Workforce Enterprise System (WES) student information system.
Additional Considerations:
- Additional education in a related field
- Experience in customer service and administrative support.
- Fluency with current computer software including Word, Excel, and customer relations databases (CRM's).
- Effective oral and written communication skills. Ability to communicate with individuals (staff and the public) clearly and concisely via telephone, email, and in person.
