The Virginia Museum of Fine Arts in Richmond is one of the largest comprehensive art museums in the United States. The VMFA Department of Human Resources supports excellence in the VMFA workforce and our broader community. We accomplish this by being knowledgeable, approachable, and professional in providing quality client services in the areas of payroll, employee relations, benefits, recruitment and retention, professional & organizational development, compensation, human resource administration, internships & volunteer opportunities, staff engagement, and HR data management. We develop and communicate sound policies and procedures that balance the needs of employees and the needs of the museum while ensuring compliance with local, state, and federal law. We provide strategic leadership and model excellence, honesty, integrity, and teamwork. We deliver our services in support of the museum's mission of providing world-renowned art, education, leadership, and service to the Commonwealth of Virginia and the global community.

We are currently seeking applications for an HR Coordinator who will provide HR Services Support for recruitment and onboarding, compensation and classification, benefits and payroll as well as HR Events/Staff Engagement. This position provides general office support serving as first point of contact for all VMFA staff and external parties who contact or visit the HR department. Position duties include:

  • Answers numerous inquiries promptly and professionally; directs inquiries to the appropriate HR staff member to be addressed.
  • Effectively communicates both verbally and in writing. Expresses ideas and instructions clearly and concisely.
  • Holds a Small Purchase Credit Card (SPCC) and is trained in and complies with the use of eVA and all Commonwealth of Virginia and VMFA purchasing and business travel policies. Prepares correspondence, memoranda, reports, spreadsheets, org charts, etc.
  • Serves as the personnel and general files custodian for the department. Files documents in appropriate employee files. Ensures files are organized, consistent, and complete, and ensures filing cabinets and room(s) and digital filing system(s) are organized and neat. Ensures department is prepared for audit.
  • Tracks deadlines for state-mandated and other applicable reports to help ensure compliance; tracks deadlines for annual HR activities such as performance evaluations, telework agreement renewals, etc.
  • Provides support for COVLC training platform to staff.
  • Provides administrative assistance to HR leadership as assigned, including but not limited to: calendar management and scheduling, meeting support, preparation of documents/reports/presentations, management of signature requests, tracking managerial deadlines and requests (e.g. SPCC approval, PTO approval, 1:1 meetings, etc), and other duties as assigned.

Minimum Qualifications:

  • Must be comfortable working in a highly visible and front-facing role.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills. Must enjoy working with a diverse range of individuals and ensuring employee requirements and needs are met.
  • Professional integrity, and sense of responsibility and accountability.
  • Ability to maintain and ensure a high level of confidentiality for sensitive information and material.
  • Excellent organizational skills and attention to details. Must be skilled at multitasking.
  • Working understanding of human resource principles, practices, and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in high-paced and at times stressful situations. Must be flexible and able to adapt to change.
  • Excellent computer literacy, including extensive experience with Microsoft 365 or related software, Abode Acrobat, and project management programs.
  • Ability to work on site.

Additional Considerations:

  • Experience using HR software and HRIS (Human Resource Information System) databases, such as PeopleSoft/Cardinal or similar.
  • Experience in a museum work environment or similar.
  • Experience working for the Commonwealth of Virginia or other government agency.
