We are now looking for a new Sales Support Northern Europe (focus on the Benelux area) to join our team in Cluj-Napoca, Romania!

As an integral part of the Northern Europe Sales Support Sales Organization you will be required to engage with your sales colleagues, Application Engineers and customers. You will gather information, create and submit quotations and prepare orders for processing. You will play a vital role in ensuring best in class customer experience through a smooth quotation and ordering process.

Key responsibilities include:

  • Quotation Management: Creating basic to intermediate-level quotes to support the sales team.
  • Purchase Order Validation: Reviewing and validating order packages for accuracy and compliance.
  • System Updates: Maintaining up-to-date records in C1 and Oracle Sales Cloud (OSC), DataZen to ensure seamless information flow.
  • Account Management: Setting up new customer accounts in OSC.
  • SPR Follow-up: Managing the approval process for Special Pricing Requests (SPR) to meet client needs and operational requirements.
  • Sales Request Handling: Addressing sales requests promptly while adhering to defined Service Level Agreements (SLA).

This role demands a high level of organization, attention to detail, and the ability to collaborate across departments to support the broader goals of the UK and Ireland sales team.

Responsibilities

  • Purchase Order validation received from the customer, sales department or Application Engineering
  • Creating and updating the documentation necessary for the PO validation process
  • Maintain OSC and Oracle customer data;
  • Understand the customer requirements;
  • Create quotes in C1 for and together with field sales for products including service, customized products (ETO), project services, delivery and commissioning;
  • Collect and prepare the documentation for POs and coordinate with the different company functions including Legal and Finance;
  • Create quotes for large projects;
  • Submit quotes to field sales and customer in a timely manner;
  • Raise Special Price Requests (SPR) in sync with field sales price positioning;
  • Liaise by phone and email with customers, suppliers and field sales;
  • Become fully conversant with customers, suppliers and field sales on products and the Vertiv sales process;
  • Maintain constant communication with different departments (sales, finance, legal, operations, AE, logistics)
  • Help the sales department with the system issues they encounter in the quoting process
  • Continues improvement initiatives on the process.
  • Ensure each order is in line with the Vertiv sales order process.

Qualifications

  • Personality oriented towards working in a team setting and supporting your colleagues;
  • Previous experience within a client/team role – min. 2 years
  • Strong focus on customer satisfaction and long-term customer relation building;
  • Highly competent user of Microsoft 360 suite, incl. Excel, PowerPoint, Word, and Outlook;
  • Solid analytical skills and excel capabilities;
  • Self-motivated and capable of operating with various departments and personnel in stressful situations;
  • Ability to operate autonomously or as a team member, self-disciplined;
  • Customer orientated
  • Quoting and Order Processing: Familiarity with creating and managing quotes, validating purchase orders, and processing sales transactions.
  • CRM/ERP Systems: Basic proficiency with CRM tools such as Oracle Sales Cloud (OSC) or equivalent platforms.
  • Communication Skills: Strong verbal and written communication skills to interact with internal teams and clients.
  • Time Management: Proven ability to manage multiple tasks and prioritize effectively to meet deadlines and SLAs.
  • Data Analysis: Basic knowledge of data analysis tools or methodologies to support sales operations.
  • Degree: Bachelor's degree
  • English Proficiency: Good level of English, both written and spoken, to communicate effectively in a professional environment.
