Position Overview

The Director of Operations works in partnership with the Principal with supervisory responsibility and creates a unifying workforce vision that brings team member development, performance management, and succession planning together. This position reports directly to the Senior Director of Operations.

Essential Functions

I. School Operations & Facilities Management

  • Oversees facilities, food service, IT functions, and operational aspects of the front office to ensure an efficient school environment.
  • Ensures timely maintenance and resolution of facility-related issues, coordinating with vendors for repairs and improvements.
  • Manages food service operations, ensuring compliance with food safety regulations and delivering high-quality meal service for students.
  • Supports the implementation and maintenance of technology infrastructure to ensure systems are operational and meet instructional needs.
  • Manages front office administrative workflows, supervises the operations secretary, and ensures a welcoming and efficient environment for students, staff, and visitors.

II. Safety, Compliance & Emergency Preparedness

  • Ensures adherence to all health, safety, and workplace regulations, conducting routine safety drills and inspections.
  • Maintains and updates emergency preparedness plans, conducting drills and coordinating with emergency services.
  • Ensures all staff receive required compliance training (e.g., bloodborne pathogens, hazardous materials training).
  • Monitors and ensures adherence to safety-related grants and funding requirements, tracking expenditures and completing compliance reporting.
  • Oversees drop-off and pick-up logistics, coordinating with law enforcement and traffic control to ensure student safety.

III. Human Resources & Talent Management (Non-Instructional Staff)

  • Handles hiring, onboarding, and performance management for non-instructional staff.
  • Facilitates onboarding and training to ensure role clarity and operational effectiveness.
  • Conducts performance evaluations and provides ongoing support for operational staff.
  • Manages time clock entries and time-off requests for all hourly non-instructional employees.

IV. Marketing, Enrollment & Community Engagement

  • Leads student recruitment efforts and community outreach, planning strategies to attract prospective students and families.
  • Executes marketing initiatives, events, and enrollment strategies determined by the marketing department.
  • Organizes and leads enrollment events, such as open houses and school tours.
  • Oversees Parent Volunteer Organization (PVO/PTO) engagement, attending meetings, supporting initiatives, and assisting with fundraising events.
  • Builds relationships with local businesses and organizations to enhance student learning opportunities and school visibility.
  • Represents the school as a Chamber of Commerce member and fosters external partnerships.

V. Financial & Budget Management

  • Manages financial execution of the campus budget and federal grant budget, while the Principal contributes to planning and strategy.
  • Owns the Capital Expenditure (CAPX) budgeting process, ensuring financial planning aligns with school needs.
  • Ensures grant funding is used effectively and in compliance with financial regulations.

VI. Audit & Regulatory Compliance

  • Prepares for and responds to internal and external operational audits, ensuring adherence to compliance requirements.
  • Conducts internal reviews to assess operational efficiency and implements corrective actions based on audit findings.
  • Ensures the school remains in full compliance with operational policies, safety regulations, and funding requirements.

VIII. Strategic Planning & Collaboration

  • Shares responsibility with the Principal for strategic planning, ensuring operational and academic goals align for school improvement.
  • Collaborates with the Principal on campus culture, safety, and student experience initiatives.

Knowledge, Skills, & Abilities

The School Director of Operations must have a high level of interpersonal skills in order to handle sensitive and confidential situations. This position requires demonstrated poise, tact and diplomacy. The School Director of Operations must work effectively and relate well with others including superiors, colleagues, and individuals inside and outside of the district. The School Director of Operations must act in a professional manner in dealing with others and they must work to maintain constructive working relationships. They must also have the ability to represent the school and district effectively in a variety of settings with diverse communities. The School Director of Operations must also have the ability to demonstrate understanding and appreciation for diverse cultures. This position also requires:

  • An in-depth knowledge of school operations.
  • Subject matter expertise within the educational community on school operations.
  • Demonstrated program development and implementation skills.
  • The planning of the work of others and the coordination of work with other departments or external agencies.
  • The ability to read, write, analyze, and interpret policies, procedures, and regulations.
  • The ability to effectively present information and respond to questions from students, parents, community members, faculty, staff, media, supervisors, managers, and directors.
  • Excellent verbal and written communication skills.
  • The ability to solve problems and deal with a variety of variables in situations.
  • The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule forms.
  • Strong attention to detail and excellent organizational skills.
  • Strong leadership skills with the ability to develop staff.
  • The ability to complete work in a timely, accurate, and thorough manner showing conscientiousness about assignments (leads by example).
  • A flexible schedule in order to work hours necessary to fulfill job requirements.
  • The ability to build consensus that permeates the entire staff through the development and implementation of a professional learning community.

Background Checks

  • The incumbent in this position will be required to pass a criminal history background check.
  • Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times.

Physical and Travel Requirements / Work Environment

  • Travel between campuses is required from time to time.
  • This position requires the need to lift objects (up to 25 pounds) on occasion.
  • This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping and long periods of concentration.
  • Local and in-state travel required.
