About the Role

We are now looking for two Facility Management Supervisors within Soft Services for the northern and central regions of our organization Real Estate and Facility Management!

Real Estate & Facility Management is a Shared Service organization responsible for Vattenfall Norden's leased and owned office buildings, as well as all services needed for the operation of the facilities and office environments. This includes responsibility for rental contracts, external and internal maintenance of the properties, and office services ranging from security, reception, housekeeping, office supplies, coffee and fruit, mail handling, document archiving, exchange, furniture, and interior design.

As a Facility Management Supervisor for Soft Services, you will be responsible for the daily management and service operations within the activity services and cleaning of our facilities and offices through active leadership. You will drive improvements for all establishments assigned to the properties and be responsible for the operation and follow-up of OPI/KPI and operational budget.

Your duties include:

  • Managing and following up on the operations with the help of facility management service providers including case management and operational meetings.
  • Addressing deficiencies in the service.
  • Participate in and propose and evaluate operational improvements.
  • Work towards consensus between service providers and our organization.
  • Actively work on well-being within the organization and in the relationship with our service providers.
  • Responsible for creating and following up on the operational budget for housekeeping and activity services.
  • Invoice and case management in IT system.
  • Coordination responsibility for our offices in Luleå and Umeå or Motala and Uppsala.

Requirements

We are looking for someone who has:

  • Relevant education in Facility Management or equivalent experience in delivering Facility Management services.
  • Several years of experience in a similar role within the operation of and service delivery to commercial properties.
  • IT and system knowledge with practical experience in MS Office, invoice management systems, and case management systems within facility management or similar activities.
  • Knowledge of occupational health and safety legislation and experience in working with preventive measures for a safe working environment.
  • Experience in managing, supervising, and following up on service providers for housekeeping, office services, and property maintenance.
  • Driving license class B.
  • Very good knowledge of Swedish and English.

It is advantageous if you also have:

  • Education in and practical experience of working with housekeeping standard INSTA800.
  • Practical experience of working on continuous improvements of office and activity-supporting services in large workplaces.
  • Experience of delivering activity-supporting services within manufacturing or process industry.
  • Experience as a coordination responsibility for work environment.
  • Experience as a safety representative.
  • Experience in purchasing services.
  • Education and practical experience as a project or assignment leader.
  • Experience in a leading role.
  • Professional experience in operational practical work in housekeeping, customer service, or hospitality.

You have relevant education and experience in delivering office services at a level that, in addition to managing our current service delivery, you can also contribute to the development of these services.

Being able to create good personal and effective work relationships with our service providers and colleagues is extremely important to manage the service delivery in such a large geographical area. You are responsible for certain work environment issues, conduct operational meetings with our service providers, and hold house meetings with our tenants. You must therefore be service-oriented and good at communication and administration.
