Employee Benefits
- Front line manager for employees to aid in benefit enrollment, questions, knowledge and guidance surrounding available benefits.
- Encourage employees to attend webinars put on by providers (401k, Wellness).
- Provide employees on LOA with benefit premium agreements and follow through on collecting arrears to be reported to Corporate HR.
- Complete FMLA/STD/LTD paperwork and submits to appropriate agency.
- Assist employees with Qualifying Life Events.
- Complete and submit Unemployment Claims providing necessary backup documentation and participate in phone hearing if applicable.
Recruiting
- Liaison between Managers and Recruiting Director for open positions.
Onboarding
- Create Offer Letters for new employees and route to applicable signors.
- Initiate Background and Drug Screens for new candidates.
- Orientation for all new employees – provide benefit packet, payroll calendar, go over login info for various systems etc.
- Ensure Paycom Checklists are completed for all new employees.
- Conduct 30-day New Hire check-in to ensure effective onboarding process.
Compliance
- Maintain up-to-date information on the various work-related issues such as ADA, FMLA, OSHA, FLSA etc.
- Ensure all posters and applications are compliant as dictated by state and federal law.
- Routinely perform Compliance Audits as directed by Corporate.
- Ensure employee policies and procedures are being adhered to.
Safety
- Ensure accident reports are completed and submitted in a timely manner.
- Ensure OSHA logs are posted in February and submitted as necessary and State Workers' Compensation Official Notices are posted each year.
- Work closely with Safety Leads to ensure timely compliance of duties.
- Attend all Safety meetings and forward meeting notes to Corporate HR monthly.
Employee Compensation
- Ensure standard payroll processes are set up for each location in the region for payroll processing and streamline where possible.
- Communicate to managers (current and new) the importance of getting correct and complete timesheets, hours, termination notices (PAFs) to HR in a timely manner, to reduce errors in payroll and ensure it meets the deadlines.
- Work closely with the Payroll Manager to keep payroll records up to date with current salaries and make sure payroll amounts are accurate.
- Maintain updated records on advances, sick/personal/vacation time earned and used.
- Keep payroll employee deductions accurate and make all necessary changes in a timely manner.
- Add, terminate, inactivate for leave of absence employees in the payroll system ensuring appropriate changes were made by the outside payroll-processing vendor and sent to Corporate HR for tracking.
- Execute merit increase process locally.
Training
- Collaborate with Corporate to identify training opportunities.
- Consistently follow up on results of training initiatives and report to Corporate.
Employee Engagement
- Track Top 3 Focus Areas from the Job Satisfaction Survey and summarize to Department Leaders in the Region.
- Assist the GM and Branch Managers in planning and conducting either Town Halls, Department Manager Meetings or employee appreciation luncheons.
Performance Management
- Meet regularly with Executive Management (GMs, Branch Managers and Department Managers) to provide proactive support to the business operations.
- Help managers with their development learning plans, as an outcome of completing the Leadership Development courses and other training.
- Participate in high priority performance reviews as needed.
- Track completion of performance reviews & note under performance.
- Archive all performance reviews & ensure sufficient documentation for involuntary terminations.
HR Generalist
- Consistently work on improving the Top 3 Survey focus areas and track progress.
- Develop Action plan with GM to address for the region and share results with Corporate HR to roll up for the company.
Employee Relations
- Assist with all local HR complaints/problems, keeping Corporate HR informed of any potential exposure to lawsuit/EEOC charge.
Administrative
- Organize and maintain regional personnel files.
- Assist with title work as needed.
- File W/C claims & general insurance claims and report progress to Corporate HR.
- Track and order office supplies.
- Process Employment Verifications.
- Notarize documents such as MCO's, titles, Power of Attorneys, etc.
- Point of contact for Cleaning/Janitorial staff.
- Organize and prepare office for Leadership meetings, Training, Conferences etc.
- Customer Service/Phone Attendant as needed.
- Support for Managers as needed.
- Assist with projects as needed.
Accounting
- Shared Services liaison, provide local support for Accounting / Shared Services department
- Train/assist Accounting employees with remaining job duties. I.E. Flooring payoffs, post funding notices, bill deals, schedule clean up, bank reconciliations, FET, AR issues, order office supplies, etc.
Qualifications
Education and/or Experience
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
