Job Summary

Primarily supports the day-to-day and facilities branches of the Vanderbilt Operational Services (VOS) team. VOS is a multi-focal department that provides common core operational infrastructure support for existing off-site clinic operations. This support includes assistance with environmental services, building and landscape maintenance, hazardous waste pick-up, furniture, non-capital equipment, IT infrastructure, phones, etc. Additionally, VOS provides project management support for new clinic locations and expansions, clinic moves, and clinic closures.

Key Responsibilities

  • Primary management of VOS centralized mailbox communications.
  • Responsible for generating Pegasus tickets for both day-to-day and facilities teams for requests from clinics.
  • Entry of facilities tickets into Lee Company work order system.
  • Daily operations of work order system currently in development (will replace Pegasus in future). Will ultimately be responsible for entering data into system as well as pulling reports and analyzing data from the system.
  • Distribution of other email communications to appropriate team members.
  • Responsible for processing of and follow up on a subset of day-to-day requests from the outside clinics.
  • Complete rounding audits in offsite clinics to monitor Lee Company performance.
  • Assist with data processing tasks as requested. Will involve basic to intermediate Excel skills.
  • Some processing of quotes/invoices to generate PO's and prepare them for payment.
