A Brief Summary of This Position:
This position is responsible for establishing, managing, and continuously improving all material flow activities within GEMS. The Supply Coordinator owns the day-to-day execution of inventory control, purchasing, receiving, staging, and shipping to support fabrication, assembly, and machine build operations. This role will develop standardized processes and procedures to ensure materials are accurately tracked, properly stored, safely handled, and available when needed. The position requires close coordination with Engineering, Fabrication, Machine Builders, suppliers, and freight carriers, as well as hands-on operation of material handling equipment. Success in this role directly supports production efficiency, schedule adherence, and overall operational effectiveness.
Essential Functions:
- Develop and implement standardized inventory control processes to ensure accurate tracking, storage, and issuance of materials.
- Own all material ordering activities, including supplier coordination, purchase order execution, and follow-up on open orders.
- Receive, inspect, and verify incoming materials for accuracy, condition, and conformance to specifications.
- Coordinate outgoing shipments, including palletized freight and full truckloads, ensuring proper packaging, documentation, and scheduling.
- Maintain accurate inventory records using Excel and ERP or inventory management systems.
- Establish minimum and maximum stock levels to support production while minimizing shortages and excess inventory.
- Stage materials for fabrication, assembly, and machine builds to support project schedules.
- Develop and maintain Standard Operating Procedures (SOPs) related to inventory, receiving, shipping, and material handling.
- Implement visual management and 5S practices to improve organization, safety, and efficiency in material storage areas.
- Safely operate material handling equipment including overhead cranes, forklifts, pallet jacks, hand trucks, and carts.
- Ensure compliance with all safety policies related to material storage, handling, and movement.
- Communicate material availability, shortages, or delivery issues that may impact production schedules.
- Support continuous improvement initiatives related to material flow, storage layout, and process efficiency.
- Domestic travel up to 10% including overnight stays
- Train and support internal team members on material request processes and inventory system usage.
Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):
- High School diploma with 4+ years of related experience or Associate's Degree with 2+ years of related experience
- A strong working knowledge of Microsoft Word, Microsoft Excel, and Microsoft Outlook
- Excellent verbal and written communication skills with both internal and external teams
- Strong mathematical aptitude
- Working knowledge of inventory control principles and material flow within a manufacturing or fabrication environment
- Experience with ordering, receiving, and shipping materials, including coordination with suppliers and freight carriers
- Ability to safely operate material handling equipment, including overhead cranes, forklifts, and pallet jacks (or ability to obtain certification)
- Ability to accurately track materials and maintain organized, detailed records
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Ability to follow and enforce safety procedures related to material handling and storage
- Comfortable working in both office and shop-floor environments
- Ability to identify problems, take ownership, and drive practical solutions
Highly Qualified Candidates Will Also Possess These Qualifications:
- Previous experience in a fabrication, machine build, or heavy manufacturing environment
- Experience working within an inventory management system
- Prior responsibility for developing or improving inventory processes, SOPs, or material flow systems
- Experience coordinating freight shipments, including full truckloads and palletized freight
- Familiarity with 5S, lean manufacturing, or continuous improvement initiatives
- Strong understanding of material staging to support build-to-order work
- Experience working closely with Engineering, Drafting, Production, or Machine Building teams
- Demonstrated ability to take ownership of a function and build structure where limited processes previously existed
Working Environment and Physical Efforts:
This position is performed in a combination of office, manufacturing, and outdoor storage and staging environments. The Supply Coordinator will spend a significant portion of time supporting fabrication operations while working directly within active production areas and designated material storage and staging locations. Materials are stored and staged in both indoor and outdoor areas. The use of PPE (Personal Protective Equipment) is required at all times while in production, storage, and staging areas.
The working environment may include exposure to dust, dirt, noise, vibration, heat, fumes, moving equipment, and changing weather conditions. The individual may be required to work outdoors in all seasons while coordinating material movement, receiving, staging, and shipping activities.
This role requires frequent standing, walking, bending, reaching, climbing, and lifting throughout the workday. The Supply Coordinator must be able to safely lift, carry, and maneuver materials of varying weights, with or without mechanical assistance. Routine operation of material handling equipment including overhead cranes, forklifts, pallet jacks, hand trucks, and carts is required.
The position requires climbing stairs, accessing elevated storage locations, and maneuvering materials in shared and active work areas. Extended periods of computer use are also required for inventory tracking, purchasing, receiving documentation, and shipping coordination. Strong situational awareness and strict adherence to all safety procedures are required to ensure the safe handling and movement of materials within active manufacturing and outdoor staging environments.
