Legal Assistant

We are looking for an organized and detail-oriented Legal Assistant to join our team on a long-term contract basis in Seattle, Washington. This role involves providing essential licensing and administrative support to the grocery alcohol and licensing group within the Legal Department. The successful candidate will thrive in a fast-paced environment, demonstrate excellent problem-solving skills, and excel at managing multiple tasks efficiently and independently.

Responsibilities:

  • Handle licensing and renewal processes for grocery alcohol-related projects, ensuring all required information is gathered and submitted accurately.
  • Track the progress of multiple licensing initiatives and maintain detailed records to ensure timely completion.
  • Perform data entry and maintain databases to support licensing operations and compliance.
  • Coordinate routing and signature tracking for various documents, ensuring all approvals are obtained promptly.
  • Draft clear and precise correspondence and communicate effectively with internal teams and external stakeholders.
  • Respond quickly to urgent situations, demonstrating decisiveness and the ability to work under pressure.
  • Organize and prioritize tasks to meet tight deadlines while maintaining high attention to detail.
  • Collaborate proactively with team members to solve problems and enhance efficiency.
  • Uphold confidentiality and integrity when handling sensitive information.
  • Adapt to shifting priorities and demonstrate flexibility in managing diverse responsibilities.

Requirements:

  • At least 2 years of experience as an administrative assistant, preferably in a legal or detail-oriented environment.
  • Proficiency in Microsoft Word for document creation and editing.
  • Strong written and verbal communication skills, with the ability to convey information clearly and effectively.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage high volumes of tasks and projects independently.
  • Experience with licensing processes or administrative law is a plus.
  • Client-service orientation and the ability to work well with individuals across various levels.
  • High level of integrity and discretion when handling confidential information.
