Medical Support Assistant

This position is located at the Clement J. Zablocki VA Medical Center, Milwaukee, Wisconsin, in the Medicine Division. The incumbent is responsible for providing comprehensive administrative support across all areas within the Medicine Division. This includes delivering a full range of administrative services with a focus on quality, efficiency, and contributing to the advancement of the Veterans Affairs (VA) mission.

Responsibilities include:

  • Scheduling patient appointments in a call-center setting
  • Serving as part of the Administrative Referral Coordination Team
  • Working closely with allied health partners to ensure seamless care coordination for patients
  • Participating in team huddles and team meetings to manage and plan patient care
  • Interacting with both internal and external customers
  • Operating a multi-line telephone and paging system
  • Establishing patient records and routing them accurately to be scanned into the patient's electronic medical records
  • Coordinating and scheduling labs, tests, and actions related to patient care
  • Monitoring both inpatient and outpatient appointments
  • Verifying and updating patient demographics
  • Maintaining adequate and appropriate levels of office supplies

Work Schedule: Monday-Friday 8:00am-4:30pm

Requirements:

  • Must be a U.S. Citizen
  • Selective Service Registration is required for males born after 12/31/1959
  • Must be proficient in written and spoken English
  • Subject to background/security investigation
  • Selected applicants will be required to complete an online onboarding process
  • Acceptable form(s) of identification will be required to complete pre-employment requirements
  • Effective May 7, 2025, driver's licenses or state-issued identification cards that are not REAL ID compliant cannot be utilized as an acceptable form of identification for employment
  • Participation in the seasonal influenza vaccination program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP)

Qualifications:

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens
  • English: Must be proficient in basic written and spoken English
  • Education/Experience: Must possess six (6) months experience of clerical, office, customer service or other administrative work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant. OR Must have successfully completed one (1) year above high school

In addition to meeting the basic requirements listed above, you must meet the grade requirements at the GS-6 level to qualify for this position.
