The Ops Admin Assistant I provides administrative and operational support to the Operations team, ensuring the proper flow of documentation, information management, basic shipment tracking, and support in internal processes. Their main function is to support daily tasks of the area to ensure compliance with operational standards and effective attention to internal and external clients.

1. Operational Support

  • Register and update shipment information in corporate systems.
  • Support in the organization and delivery of operational documents (guides, supports, manifests).
  • Perform basic shipment tracking and escalations according to procedures.
  • Control, archive, and custody of documents necessary for daily operations.

2. Administrative Management

  • Update internal databases and routine area reports.
  • Support with the generation of simple operational reports (volume, deliveries, incidents).
  • Manage and follow up on internal requests related to operations.
  • Support the coordination of resources, appointments, access, or requirements for suppliers or partners.

3. Internal Client Service and Operation Support

  • Answer internal queries about shipment status, documents, or processes.
  • Channel requests to the corresponding areas for timely resolution.
  • Maintain effective communication with hubs, last mile, or partners according to supervisor instructions.

4. Document Control and Processes

  • Verify information of operational documents before loading them into the system.
  • Organize physical and digital files following company standards.

Support administrative tasks related to audits, internal controls, or basic KPIs.

1. Academic Background

  • Technical, technologist, or student of careers such as:
    • Administration
    • Logistics
    • Foreign Trade
    • Administrative Processes
    • International Business
    • Or related programs

2. Technical Knowledge

  • Intermediate to advanced handling of Excel and Office tools.
  • Basic knowledge of logistics or transportation (desirable but not mandatory).
  • Handling of internal operation systems (training provided).

3. Soft Skills

  • Organization and priority management.
  • Attention to detail.
  • Clear and assertive communication.
  • Proactivity and willingness to learn.
  • Teamwork and adaptability to dynamic tasks.

4. Operational Skills

  • Ability to register information with precision.
  • Skill to follow up on tasks and simple incidents.

Basic understanding of logistics flows and documentation.

Schedule: Monday to Friday 8am-5pm (1 hour lunch break) - 44 hours weekly

Location: Bogota, PRESENCE
