Join Our Team at UPMC Shadyside – Full-Time Surgical Services Secretary (Same Day Surgery)

Are you ready to make a meaningful impact in a fast-paced surgical environment? UPMC Shadyside is seeking a dedicated Surgical Services Secretary to support our Same Day Surgery department, which handles 40–60 surgical cases daily across a diverse patient population. This dynamic role plays a key part in coordinating care and communication between the acute pain service, main DAS department, and the surgical family lounge.

Schedule: Monday–Friday, 6:00 AM to 2:30 PM, with 5–8 hour shifts per week Perks: No holidays, nights, or weekends required—enjoy a consistent daytime schedule Must-Haves: Prior experience as a surgical secretary or Health Unit Coordinator (HUC) Nice-to-Haves: Familiarity with EPIC and eProcurement (Epro) systems

Purpose: Provide primary secretarial support to physicians and key personnel, ensuring efficient office operations and high-quality administrative service.

Key Responsibilities:

  • Billing & Documentation:
    • Accurately enter patient charges and reconcile daily revenue.
    • Maintain complete, accessible procedural documentation.
    • Prepare monthly statistical reports and compile data as needed.
  • Scheduling & Coordination:
    • Manage surgical operative schedules and confirm OR times with surgeons and departments.
    • Communicate schedule changes promptly to all relevant parties.
  • Office Operations:
    • Perform general secretarial duties including typing, filing, and appointment scheduling.
    • Maintain organized workspaces and demonstrate proficiency with office equipment and computer systems.
    • Update secretarial guidelines regularly.
  • Teamwork & Leadership:
    • Collaborate with healthcare team members and assist co-workers.
    • Take initiative and maintain operations in the absence of office partners.
    • Notify supervisors of potential issues and contribute to problem resolution.
  • Customer Service & Communication:
    • Provide courteous, confidential, and accurate service to patients and staff.
    • Answer phones professionally and document messages thoroughly.
    • Demonstrate strong listening and problem-solving skills.
  • Compliance & Productivity:
    • Adhere to hospital and departmental policies.
    • Maintain effective workflow, time management, and productivity standards.
    • Be available and adaptable to meet operational needs.
  • High school diploma or equivalent.
  • 1-2 years secretarial experience preferably in a health care setting or completion of an accredited secretarial school and 6-12 months experience required.
  • Accurate typist and ability to use transcription machine. Word processing and PC experience required. Good command of the English language with specific knowledge of punctuation, spelling, etc. and ability to compose letters and memoranda of a routine nature required. Manuscript typing desired.
  • Knowledge of medical terminology preferred.
  • Problem solving ability - knowledge of function of the department and the responsibilities of personnel. Requires judgment to recognize problems which should be referred to staff physicians or supervisor.Licensure, Certifications, and Clearances:
