Department Assistant - Marketing and Finance and Business Law

This position supports the chairs of the Marketing and Finance & Business Law Departments at the College of Business and Economics. This position also provides office management support to faculty in both departments. The incumbent is responsible for organizing and managing secretarial workflow and providing program assistance. The position maintains records and assists in the effective operation of the departments.

The incumbent is responsible for maintaining the department's budgets and student records. This position supervises student workers and responds to inquiries from the departments, students, and other correspondents.

The incumbent supports both Marketing and Finance & Business Law equally. However, some of the tasks listed below may be completed for one chair or department and not the other. The department chairs will work together to set performance expectations. Work hours are Monday through Friday, 7:45 a.m. - 4:30 p.m.

Key Job Responsibilities:

  • Identifies, troubleshoots, and resolves problems regarding technical systems and programs related to department operations
  • Coordinates projects and program components including, scheduling and logistics, unit workflow, and identifies areas for process improvements
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to department operations according to established policies and procedures
  • Serves as a primary point of contact for the department
  • May provide operational guidance and training on day-to-day activities of student workers and program staff
  • Monitors the department, unit or program budget and expenses, and may assist in the development of program budget and projections

Compensation:

Well-qualified candidates can expect a starting hourly wage within a range of $20/hr – $21/hr.

Required Qualifications:

  • High school diploma
  • 1+ year of experience providing administrative support or an Associate's degree
  • Proficiency in Microsoft Office products (Word, Excel, Outlook, PowerPoint)
  • Proficiency in Google Drive productivity tools (Docs, Sheets, Slides)
  • Excellent communications skills, both verbal and written
  • Ability to understand currently available and evolving technologies commonly used by university ADAs

Preferred Qualifications:

  • Previous experience with budgets
  • Ability to organize and execute events
  • Demonstrated experience in a higher education setting
  • A working knowledge of UW-System and UW-Whitewater policies and procedures

Knowledge, Skills and Abilities:

  • Ability to work independently and as part of a team.
  • Ability to exercise sound judgment and discretion under various complex rules and practices.
  • Ability to work collaboratively with diverse constituents: faculty, administration, students, staff, parents, and alums.
  • Knowledge of computer operating systems and standard computer applications, including word processing, spreadsheet, database, presentation, and digital media programs.
  • Knowledge of budget processes.
  • Excellent interpersonal, oral, and written communication skills.
  • Ability to train and supervise student employees.
  • Excellent customer service skills
  • Ability to interact respectfully with people with diverse socioeconomic, cultural and ethnic backgrounds
  • Willingness and ability to be an active participant in following applicable safety rules and regulations including necessary training and drills
