Patient Service Representative

The Patient Service Representatives (PSR) is the first point of contact for patients in the UWS clinic. The PSR supports clinic operations and ensures an excellent patient experience by:

1. Providing excellent service by phone, email, at check-in and checkout to enhance the patient's experience.

2. Supporting all aspects of registration and payment.

3. Fulfilling records requests.

4. Assisting in clinician and intern scheduling and clinic inventory.

Patient experience (75%):

  • Schedule new patients in person, by phone or voicemail follow-up.
  • Check patients in for routine appointments.
  • Register patients for new appointments. This includes ensuring all paperwork is completed.
  • Accurately complete scanning and indexing within patient chart of completed documentation.
  • Collect payment, when appropriate.
  • Schedule patient follow-up appointments.
  • Resolve patient complaints (when appropriate) or escalate patient complaints to the Clinic Office Manager.
  • Maintain HIPAA compliance during patient interactions.
  • Ensure updated front desk forms are implemented in a timely fashion.

Records request (15%):

  • Follow established internal procedures.
  • Maintain HIPAA compliance in medical record processing for patients. This includes both internal and external requests.
  • Process incoming referrals from outside specialists and providers.
  • Process outbound referrals post clinic visit for diagnostic, primary or specialty services.

Scheduling and inventory (10%):

  • Assist the Clinic Office Manager in maintaining and modifying clinician and student intern schedules within the EHR.
  • Complete inventory counts to ensure supplies and products are fully stocked and available within the clinic.

Position Qualifications:

Required: Education & Training: High school diploma or equivalent

Experience: At least 3 years of customer service experience

Related Knowledge, Skills, & Abilities: Microsoft application proficiencies

Preferred: Education & Training: Associate degree in general studies or equivalent

Experience: At least 1 year of experience in healthcare

Related Knowledge, Skills, & Abilities: EPIC EHR Experience
