Administrative/Data Entry Specialist

This position will perform work responsibilities for Tennessee Child Support Employment & Parenting Program (TCSEPP). This position provides administrative support for SWORPS' Tennessee Child Support Employment and Parenting Program (TCSEPP) staff. The TCSEPP team has the mission to help non-custodial parents overcome barriers to employment in order to become stable, obtain employment, pay child support, become self-sufficient, and be an active parent in their child(ren)'s lives. This is a grant-funded position and is contingent upon the continued funding of the grant.

The Administrative/Data Entry Specialist responsibilities will include, but are not limited to:

  • Updating internal Apricot case management system
  • Generating Apricot Reports & updating Excel Spreadsheet
  • Assist program staff with case management record keeping and client services
  • Maintain client privacy and data security
  • Ability to perform Mail Merges for mailing gift card letters
  • Provide effective written, oral, and digital communication in English
  • Composing and sending emails
  • Communicate with program staff and evaluators through email & meetings
  • Participating in conferencing software, such as Zoom; setting up Zoom meetings
  • Coordination with TCSEPP Accounting Specialist
  • Gift card management and mailing of gift cards
  • Maintaining safe storage for gift cards
  • Performing monthly gift card inventory
  • Provide document support using Office 365 products
  • Assist with special projects
  • Other duties as assigned

Required Qualifications:

  • Experience: One to two years work experience in an office setting including data entry.
  • Education: High school diploma or GED
  • Knowledge, Skills, Abilities:

Ability to positively interact with clients, staff, and coworkers. Ability to communicate effectively in English using written, oral, and verbal communication methods, including email and teleconferencing software. Skill with Office 365, including Microsoft Word, Microsoft Excel, and Microsoft PowerPoint. Skill with Adobe Acrobat. Knowledge of basic accounting techniques. Ability to answer phones and perform general office tasks. Ability to protect confidentiality and to learn and understand regulations and guidelines protecting personal information.

Preferred Qualifications:

  • Extensive clerical experience in an office setting and work with social service programs or child support.
  • Knowledge of Mail Merge process, knowledge of SharePoint preferred. Skill with Zoom and Outlook preferred. Ability to perform general office responsibilities at a high level with extensive background experience.

Work Location:

  • Position is hybrid and requires the ability to report in person in Knoxville, TN.

Compensation and Benefits:

  • UT Market Range: 04
  • Anticipated hiring range: $41k
