About the opportunity: The Executive Support Officer provides high level executive assistance, governance coordination, and operational support to senior leaders within the Education & Students Portfolio, ensuring the effective functioning of the Division of Planning and the Executive. The Division includes the Office of the DVC (Education and Students) and the Office of Student Success, bringing together a diverse set of functions that support the University's educational mission through strategic planning, evaluation, governance, enablement and project delivery.

This is an opportunity for an Executive Support professional to deliver high quality executive, governance and communications support, and facilitate efficient decision-making processes. With outstanding communication skills and attention to detail, you will deploy a full suite of executive support services to our Pro Vice Chancellor Education Strategy and Student Success. In addition to being the first point of contact representing the PVC, your exceptional organizational skills and client-focused approach will be essential in managing workflow, queries and co-ordination of governance and internal compliance activities for the Portfolio.

You will be joining a collegial network of executive support staff, and at times provide back-up to the DVC Education & Students Executive Assistant as required. This is a fantastic opportunity to join a high performing team and do meaningful work whilst taking the lead on establishing new systems and administrative processes to drive continuous improvement.

Your key responsibilities will be to:

  • Provide broad, high level professional executive support including diary, travel and expenses management
  • Effectively manage general day to day administration activities
  • Provide support for committee meetings; setting agendas and minute taking
  • Build and manage effective working rapport with key stakeholders and staff across the University
  • Provide governance support and high level administrative support across the team
  • Ensure the quality application of, and compliance with, University administration policies and procedures

About you: professional working experience as an executive assistant within a complex governance setting; experience in higher education would be desirable proven capability in core EA duties such as diary management, travel management and coordination of daily tasks and functions on behalf of a senior executive professional strong communication skills with the ability to operate with a high degree of tact and professionalism across all levels of the University initiative and understanding of stakeholder priority, to ensure a customer and client centric approach meticulous attention to detail and demonstrable experience in continuous improvement flexibility and planning skills to successfully balance competing demands working within a fast paced, time-pressured environment.
