Operations Support Specialist

The Operations Support Specialist plays a key part in coordinating onsite client equipment resources; logistics; and participating in shipping and receiving operations to ensure that each client's engagement runs smoothly from setup through completion.

Serving as a visible and dependable operational presence, this mid-level support position partners closely with meeting & event Coordinators, simulation staff, vendors, and service partners to resolve logistical challenges before they reach the client. Whether coordinating space setup, managing shipments, or maintaining facility standards, the Operations Support Specialist keeps the operational environment running smoothly to support efficient and professional client experience.

This position is located in downtown Tampa at the USF Health CAMLS facility.

This position is not eligible for Visa Sponsorship.

Responsibilities

  • Support the successful execution of external client programs, meetings, and events by coordinating operational onsite logistics and ensuring program environments are prepared to meet client expectations.
  • Review event spaces prior to client arrival and monitor scheduled activities throughout the day to confirm readiness and proactively prepare for upcoming programs.
  • Respond quickly to operational requests or last-minute changes during events to maintain a positive client experience.

  • Maintain organized storage and staging areas for event furniture, equipment, linens, scrubs, and operational materials, and monitor inventory levels to ensure resources are available for scheduled programs.

  • Manage all incoming and outgoing shipments and logistics to ensure accurate receipt, processing, and distribution of packages, supplies, and program materials.
  • Assist with client asset management, including verifying deliveries, documenting receipt of delivery and ensuring materials are distributed appropriately.
  • Document all incoming packages following established protocols.

  • Coordinate outgoing shipments with vendors and program coordinators; ensure packages are properly labeled and staged in the designated outgoing shipping area.
  • Contact FedEx, UPS, or other carriers to schedule pickups for outgoing shipments as needed.
  • Coordinate laundry pickups and drop-offs on scheduled days and distribute clean linens and scrubs to the appropriate floors and storage closets upon return.

  • Support program delivery and building operations by managing resources, materials, and facilities.
  • Maintain a safe, functional, and professional environment.
  • Monitor inventory levels for event and operational supplies; Track movement and usage of event resources and materials to support program planning and accountability.

  • Conduct regular building walkthroughs and report any deficiencies; Inspect locker rooms; biohazard bins and sharps containers.
  • Assist with documentation and procedural updates that improve operational efficiency and service delivery.

  • Collaborate with contracted janitorial partners to ensure program areas remain clean, organized, and prepared throughout the event lifecycle.
  • Other duties as assigned

Qualifications

Minimum Qualifications

  • High school diploma or equivalent and 1-2 years of relevant experience or an associates degree. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for required experience.
  • Prior experience supporting event operations, program logistics, shipping and receiving, hospitality services, or customer service environments preferred.
  • Ability to work a flexible schedule including evenings, weekends, and holidays based on program needs.

SB 1310: Substitution of Work Experience for Postsecondary Education Requirements is conditional upon meeting all employment eligibility requirements in the U.S.

A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:

  • Two years of direct experience for an associate degree;
  • Four years of direct experience for a bachelor's degree;
  • Six years of direct experience for a master's degree;
  • Seven years of direct experience for a professional degree; or
  • Nine years of direct experience for a doctoral degree
  • Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
  • Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Physical Requirements

  • Ability to stand, walk, climb stairs, bend, and reach repeatedly during a shift.
  • Ability to move, lift, carry, push, and pull objects up to 50 lbs. without assistance.
  • Ability to regularly load and unload equipment carts including tables, chairs, pallets, and exhibition materials.

Knowledge, Skills & Abilities

  • Strong customer service and interpersonal communication skills.
  • Ability to work both independently and collaboratively in a fast-paced, client-focused environment.
  • Strong organizational and multitasking skills with attention to detail.
  • Basic computer proficiency, including familiarity with shipping logs and document management systems.
  • Ability to troubleshoot operational issues and exercise sound judgment in resolving problems.
