Email And Collaboration Services Product Owner

The University of Miami is looking for a seasoned professional who can oversee our email and collaboration services environment. This role combines technical and business skills with leadership talent to deliver collaboration, communication, and process improvements for our stakeholders. The Email and Collaboration Services Product Owner will guide a team that is charged with the development, configuration, implementation, and maintenance of Proofpoint, Office 365 and Google deployments. The candidate will oversee this team of analysts and technical service managers through multiple implementations, migrations, and support. The incumbent will collaborate with both the internal technology teams and several of our business partners. This position will guide these resources through multiple complex Proofpoint, Office 365 and Google support initiatives and projects. The Email and Collaboration Services Product Owner provides oversight and coordination of efforts with colleagues across multiple engineering teams, operations groups, internal partners, and vendors. The individual must possess a curious mind and a passion for developing talent as they develop their team. An ability to prioritize outcomes and build consensus is essential to properly serve over 200 thousand users around the world.

To ensure the safety and soundness of the systems we manage and the data they contain, we need a Proofpoint, Office 365 and Google environment expert. This has the support from the Board and this was reiterated in President Frenk's message from 2/19 which states, "During their respective meetings this month, the University Board of Trustees and the UHealth Board of Directors urged the administration to devote the necessary resources to mitigate the risks posed by cyber threats. As a member of both boards, I joined in the unanimous support for these essential efforts, including a resolution passed by the UHealth Board just this past Friday."

Core Responsibilities:

  • Responsible for design and delivery of overall email and collaboration services strategy.
  • Serves as the product owner for Proofpoint, Office 365 and Google products and product features, from evaluating the preview to enterprise-wide user rollout; develops a thorough understanding of the Proofpoint, Office 365 and Google suite of applications and their capabilities in relation to UM's end-users' needs; stays abreast of product evolution; understands both the engineering and business side of Proofpoint, Office 365 and Google.
  • Serves as technical expert in the implementation of new deployments and the migration of applications and services to a cloud-based environment, such as Proofpoint, Office 365 and Google, including managing design and architecture, change management, and post-production support.
  • Oversee technical staff to ensure health management of Proofpoint, Office 365 and Google services including deployment, migration, management, support, and ongoing release cadences.
  • Oversight of design and ongoing management of campaigns and communication materials used for driving adoption of selected Proofpoint, Office 365 and Google services.
  • Oversee selection and management of vendor staff for technical, solution design/delivery and support functions including budget management.
  • Ability to work under pressure while maintaining positive morale and providing clarity about competing priorities.
  • Utilize superior analytical abilities to successfully resolve conflicts, prioritize deliverables, and build consensus across organizational boundaries.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
  • Ensures employees are trained in controls within the function and on University policy and procedures.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Minimum Qualifications:

  • Bachelor's in Computer Science, Communications, Organizational Change Management, or related field.
  • Minimum 5 years of relevant experience. Any relevant education, certifications and/or work experience may be considered.
  • 10+ years email and collaboration services management experience including some combination of service management of SharePoint, Exchange, Teams, Gmail and/or other solution delivery management including workflow tools such as Power Automate and Power Platform tools and their predecessors preferred.
  • 10+ years of experience developing strategies, campaigns, and success measures for delivering organizational change preferred.
  • 5+ years of Agile service management experience in running feature teams with Kanban, SCRUM, or other Agile methodology preferred.
  • Experience in best practices for iterative service release and communications.
  • 5+ years of experience in division or department budget management preferred.
  • Microsoft Service Adoption Specialist certification.
  • Microsoft technical certifications in SharePoint, Exchange, or Microsoft Teams preferred.
  • Prosci and/or other organizational change management certifications preferred.
  • Excellent written and verbal communication skills including executive presentations.
  • Ability to travel to the job site during go-lives, conferences, rounding, and/or senior leadership meetings.
  • Ability to direct, manage, implement, and evaluate department operations.
  • Ability to establish department goals and objectives that support the strategic plan.
  • Ability to effectively plan, delegate and/or supervise the work of others.
  • Ability to lead, motivate, develop, and train others.
  • Ability to recognize, analyze, and solve a variety of problems.
  • Ability to work independently and/or in a collaborative environment.
