The University of Iowa Health Care is seeking a patient focused Clinical Services Specialist to support our Pediatric Procedure Suite.
This position is within the Pediatric Procedure Suite responsible for scheduling patient procedures. This position will be working closely with the various pediatric specialties within the organization. This role also provides expertise in clinical settings and excellent communication to a multidisciplinary population. May perform other duties as assigned.
• Composes correspondence in response to routine inquiries frequently without instruction or review.
• Initiates and processes standardized forms related to area of assignment.
• Schedule and coordinate appointments for patients, including new incoming referrals, pre-and post-operative appointments, and in-clinic minor procedures.
• Coordinate appointments with multiple departments to better improve patient experience.
• Answer questions and educate patients on pre-registration paperwork prior to visits such as patient privacy forms and insurance forms.
• Follow work processes and guidelines to ensure fluent clinic process and excellent patient care.
• Reschedule and schedule patients per departmental changes as needed.
• Monitor patient satisfaction throughout the duration of their visit and provide service recovery as needed.
• Ensure all patient questions have been addressed prior to the patient leaving the clinic.
• Work efficiently to ensure appropriate clinic flow.
• Communicate to patients about delays in clinic and provides service recovery when appropriate.
• Assist in training new employees on frontline operations.
• Complete and maintain appropriate training and compliances.
• Monitor and uphold the regulations related to patient confidentiality and HIPPA.
• Responsible for scheduling patient procedures using the EPIC system.
• Contact patients via phone.
• Work the procedure work queue for the Pediatric Procedure Suite.
• Assists with problem solving of scheduling issues.
• Follows the scheduling policies to facilitate all patient appointments.
• May perform other duties as assigned.
• Notifies the nursing leadership team of scheduling issues.
• Collaborates with peers and co-workers to enhance the delivery of health care.
• Contributes ideas to achieve goals, resolve service issues and improve process within the organization.
Percent of Time: 100%
Schedule: Monday through Friday between 6:30 AM - 6:00 PM. No weekends, no on call time, no holidays
Location: Medical Center University, Iowa City
Pay Grade: 3A
