Office Support Specialist

Responsible for administrative work that supports the research and broadening participation activities in the Center for Quantitative Cell Biology at the Beckman Institute. Using knowledge of university procedures and purchasing and with general supervision from the Assistant Director and Office Administrator, this position will coordinate the travel and logistics of weekly seminars, perform office support duties and operate office equipment and computer systems utilizing various software.

Duties & Responsibilities:

  • Arrange weekly QCB seminars and schedules for Center visitors. This includes precise completion of all details for travel arrangements, publicity, room reservations, coordinating appointments, meals and follow-up work for reimbursements and honorariums.
  • Assist the Assistant Director and Office Administrator as requested in coordinating and hosting QCB events, including the Center's summer school, Villa Cisse Scholars, conferences, advisory board meetings and retreats.
  • Following campus business policies, make purchases on behalf of the Center, including office supplies, advertisements, publications, travel, lodging and reimbursements for QCB members.
  • Coordinate Center meetings as requested, including polling attendees for availability, reserving rooms and creating Zoom invitations.
  • Attend required Center meetings and events and send professional and accurate correspondence on behalf of the Center.
  • Organize and maintain confidential filing systems using databases. Maintain accurate and updated files for seminar expenses, reimbursements and other Center expenditures.
  • Other duties as assigned by the Assistant Director or Office Administrator.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Any one or combination totaling two (2) years (24 months) from the categories below:
    • College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    • Work experience performing office/clerical activities, including the use of computer systems.
  • One (1) year (12 months) of work experience comparable to the second level of this series.

Preferred Qualifications:

  • Experience making travel arrangements.
  • Knowledge, Skills and Abilities Education and/or practical experience sufficient to provide a solid background in fundamental office practices. Education and/or practical experience in several modern software packages such as Microsoft and Box for document preparation, recordkeeping and communications. Basic understanding of computer technology in an applied environment.

Appointment Information:

This is a 100% full-time Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the posting period closes. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the classification is $42,872.70. Visa sponsorship for work authorization is not available for this position.
