Office Support Associate - LAS Student Academic Affairs Office

The LAS Student Academic Affairs Office is searching for an Office Support Associate who will serve as the front desk receptionist and provides general clerical support for the Student Academic Affairs Office of the College of Liberal Arts and Sciences.

Duties & Responsibilities

Greets and assists students, parents and other visitors to the Student Academic Affairs Office in the College of Liberal Arts and Sciences. Interpret visitor needs by efficiently gathering necessary information and selecting the appropriate dean, support staff, records officer, or other department offices to which the visitor should be referred. Coordinates student traffic, directing appointments and drop-ins to appropriate personnel. Prepares and informs deans or advisors regarding student issues or requests before being seen. Maintains a calendar of the operating duty deans; informs other deans/advisors when additional assistance is needed.

Answers main office phone line, answering questions, taking messages, or transferring calls as needed.

Support for LAS Career Services and the Lisnek Hub - front desk reception at LAS Career Services (generally one day per week), maintains scheduling calendar for events in the Lisnek Hub, assists with daily opening and closing of the Lisnek Hub space.

Provide accurate information to students of procedures needed for various petitions and forms. Inform and uphold important dates and deadlines of which students need to be aware.

Compiles student traffic data for use in annual reports and efficiency analysis.

Accepts and signs for deliveries; notifies recipients of those deliveries. Opens and closes the main office. Possess knowledge of University Student Information Systems such as Banner and DARS. Identifies scheduling problems and missing grades; checks for advising holds placed on student accounts and performs other Banner triage functions. Prepare necessary forms/documents, send faxes, answer phones, take messages, coordinate mailings, print certificates, as well as perform other related duties as assigned in a timely manner.

Required Qualifications

PER SUCSS Class Specification: High school diploma or equivalent. Any one or combination totaling eighteen (18) months from the categories below: College coursework in any curriculum as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) Work experience performing office/clerical activities, including the use of computer systems.

Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The wage for this position is $39,159.90. Hybrid work options may be available for this position after an initial on-site training period, with the ability to be on-site at the University of Illinois Urbana-Champaign campus as needed per the University's Workplace Flexibility policy. Sponsorship for work authorization is not available for this position.
