Graduate Student Support Coordinator (Financial Aid Professional III)

The Coordinator for Graduate Student Support (Financial Aid Professional III) will ensure the success of graduate students by managing the Graduate Assistant/Associate (GA) program and overseeing the administration of graduate student funding at the College level. This position is responsible for developing and implementing programming focused on all aspects related to GA hiring, done by Human Resources and the individual Colleges, Departments and Programs, and will partner with them to implement. The coordinator will also review and process external awards for graduate students who receive Graduate College managed funding, resolving issues as necessary, to ensure the disbursement of student aid.

The Graduate Student Support Coordinator will report directly to the Assistant Dean for Business and Finance.

Graduate Assistant/Associate (GA) Program Support

  • Interpret Graduate employment policies, procedures, and standards.
  • Provide guidance to Directors of Graduate Studies and Graduate Program Coordinators University wide, advising them on GA policies, processes, and standards.
  • Develop and maintain GA Manual utilized by all campus units.
  • Serve as a point of contact for all GA related questions.
  • Serve as the Subject Matter Expert (SME) for graduate employment related matters.
  • Manages all aspects of processing Graduate Assistant/Associate benefits, including reversal or proration of benefits, as needed, GA Deferments, & loading of test scores (i.e., ESPE scores).
  • Monitors and tracks GA eligibility, ensuring departments are adhering to training and enrollment requirements.
  • Oversight of the GA program, including advising Graduate College Management Team regarding issues, proposal of policies, updating GA Manual information.
  • Provides communication updates and training to departments as needed.

Graduate Student Funding Support

  • Reviews and processes external awards for graduate students receiving Graduate College managed funding, and resolves issues to ensure disbursement.
  • Serve as a Subject Matter Expert (SME) in graduate student award management.
  • Partners with Office of Scholarships & Financial Aid (OSFA) on matters related to graduate student funding that need their involvement to resolve.
  • Serves as a point of contact, advising students, staff and faculty on matters related to student aid/funding questions.

Other Graduate Program Support

  • Manages the processing and tracking of Thesis/Dissertation Tuition Scholarships.
  • Serves as the University-wide contact for Western Regional Graduate Program (WRGP), which includes serving as a contact for departments, and managing all requirements and reporting associated with the program.
  • Responsible for completing and tracking Graduate International Student Award Letters (GISALS) and funding verifications for Institute of International Education (IIE) supported students receiving funding support coming from the Graduate College.
  • Serves as a member of the University of Arizona's Tuition Appeals Committee.
  • Serves as a member of the Student Health Advisory Committee, representing graduate students.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • Strong communication, facilitation, and collaboration skills across various audiences and formats.
  • Skills in data collection, assessment, and program evaluation.

Minimum Qualifications

  • Minimum of 5 years of relevant work experience, or equivalent combination of education and work experience.
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.

Preferred Qualifications

  • Experience and knowledge working with graduate students and understanding GA policies/procedures.
  • Experience in handling student aid and performing duties associated with all responsibilities associated with managing student funding disbursement, and knowledge of policies and procedures.
  • Knowledge and experience of University Employee and Student Aid systems.
  • Experience serving as a program liaison for multiple partners (i.e., students, faculty, dept coordinators).
