Job Description

Office Administrator for Flight Operations will coordinate office activities and operations while providing clerical and administrative support to management.

Position Summary

  • Establishes Trust: Must engage with all UAA stakeholders and customers to establish trust in the flight operations and serves to be a resource of administrative support for the team.
  • Organizational skills: Organization and prioritization are the core elements of the Administrative Assistant's responsibilities. You must know how to keep yourself and others organized and how to determine how tasks are prioritized.
  • Decision-making: Is comfortable making independent decisions daily, addressing the best way to handle specific tasks, and guiding solutions to administrative challenges. Is a strong self-manager of time and competing priorities.
  • Communications and collaboration: Must collaborate with other support personnel, management, and students on a regular basis. Holds the team accountable on deliverables and ensure priorities are clearly communicated.

Duties/Responsibilities:

  • Serve as a liaison with staff, senior leaders, and the Chief Pilots office regarding flight operations.
  • Oversee operations in collaboration with senior managers and department leaders, and perform administrative tasks such as managing calendars, generating correspondence, maintaining presentations, planning, coordinating meetings, and scheduling.
  • Directs the Flight Operations office activities and functions to maintain organization, efficiency and company policy compliance.
  • Manages inquiries, developing action plans, and assisting with preparation and dissemination of communications.
  • Carries out onboarding and offboarding activities for Flight Operations, ensures enrollment and subscription to services including but not limited to Foreflight, Flight Schedule Pro, email distribution lists.
  • Collaborates with other UAA departments and personnel to support student and instructor travel arrangements when needed.
  • Attends Flight Operations management and organizational meetings when requested, ensuring two-way communication and alignment throughout the team and department.
  • Performs other related duties as assigned.

  • Basic understanding of how to operate standard business equipment

  • Outstanding attention to detail, organizational skills, valuing safety, and adhering to company policies

Education and Experience:

  • High school diploma or equivalent required
  • Three years of administrative and clerical experience preferred.
