Project Administration & Coordination
- Manage administrative aspects of multiple rail signalling projects.
- Support project managers by preparing and updating project documentation, registers, and logs.
- Coordinate information flow between internal teams, clients, and external stakeholders.
- Schedule meetings, prepare agendas, record accurate meeting minutes, and ensure timely follow-up on action items.
- Assist with manual administrative tasks during the transition to new project management systems.
- Provide general administrative support to senior and junior project managers as required.
- Undertake other project-specific duties as needed.
Document Control & Reporting
- Maintain effective document control processes using Aconex and other tools, ensuring version control and proper filing of all project documents.
- Populate and format proposals, monthly reports, and other project documentation to a high professional standard.
- Help maintain issues and RFI registers, ensuring they are kept accurate and up to date.
- Support the setup of a tenders filing repository to improve efficiency for future submissions.
- Monitor and maintain spreadsheets to track project progress, deadlines, and deliverables.
- Assist with timesheet population and reporting for billing purposes.
