Campus Services Coordinator

The Campus Services Coordinator provides administrative and operational leadership for the Campus Services Office, supporting key functions including meal plans, ID and card systems, parking services, and customer financial transactions. The position ensures exceptional daily service, accurate account management, and efficient office operations while supervising administrative staff and maintaining strong relationships with campus partners. The Campus Services Coordinator handles escalated customer concerns, oversees financial reconciliations, and supports the implementation of process improvements and technology updates. This role requires strong communication skills, attention to detail, and the ability to lead effectively in a fast-paced, student-centered environment.

Duties/Responsibilities

Customer Service, Escalations & Campus Partnerships (40%)

  • Provide high-quality customer service to students, faculty, staff, families, and guests across in-person, phone, and electronic channels.
  • Manage all escalated customer concerns and complaints, ensuring timely and policy-aligned resolution.
  • Maintain confidentiality of sensitive information (e.g., FERPA, PCI-DSS).
  • Serve as a liaison with Housing, Residential Life, Student Accounts, Admissions, the Graduate School, and other departments to support student transitions and operational needs.
  • Collaborate with Conferences and Catering to support summer programs, academic events, and special activities.

Office & Personnel Supervision; Operations & Process Improvement (45%)

  • Supervise Administrative Assistants, providing direction, training, workflow coordination, and performance oversight.
  • Conduct regular staff meetings and check-ins to support communication and accountability.
  • Oversee daily office operations including account management in Dining & ID systems.
  • Evaluate and improve office processes to enhance efficiency, service quality, and data accuracy.
  • Serve as primary point of contact for Enterprise Technology & Services (ET&S) regarding system issues and technology updates.
  • Assist the Director with reviewing and updating office policies and essential documents, including the Room & Board Agreement.

Financial Management & Reconciliation (15%)

  • Oversee account reconciliations and work with Finance to resolve outstanding issues.
  • Manage billing and end-of-day reporting for dining, ID, and parking transactions.
  • Support the accuracy and integrity of financial activity totaling approximately $30 million annually.
  • Ensure compliance with financial controls and audit requirements.

Requirements

Minimum Acceptable Education & Experience:

  • High school diploma or equivalent.
  • Five years of office experience or an equivalent combination of education and experience.
  • At least two years of supervisory experience including scheduling, performance oversight, and team leadership.
  • Experience in customer service, workflow coordination, and administrative operations.
  • Proficiency with computers and Microsoft Office Suite.
  • Ability to handle confidential information appropriately.
  • Strong organizational, analytical, interpersonal, and communication skills.
  • Ability to build and maintain effective working relationships with students, faculty, staff, and the public.

Other Requirements:

  • Strong leadership and team supervision skills with the ability to motivate staff and coordinate effective workflow.
  • Excellent customer service and conflict-resolution abilities.
  • Strong organizational, analytical, and multitasking skills in a high-volume environment.
  • Ability to interpret and apply policies, procedures, and confidentiality standards.
  • Proficiency with office technology, administrative systems, and data accuracy practices.

Preferred Qualifications:

  • Associate's degree in Business, Management, or a related field.
  • Experience working in a higher education or student services environment.
  • Familiarity with Banner Student, Transact, StarRez, TruCredential, or comparable systems.
  • Knowledge of financial reconciliation processes or higher education administrative operations.

Compensation Pay Range:

$20.15 - $33.15
