Position Summary

Operations Officers at The Pingry School play a vital, front-facing role in supporting the safe, welcoming, and efficient operation of all three Pingry campuses. Serving as both reception ambassadors and operational support staff, they ensure a secure learning environment while assisting with campus logistics, event coordination, and day-to-day operational needs.

As the first point of contact for many visitors, Operations Officers provide courteous and professional reception services, greeting guests, assisting with wayfinding, managing check-ins, and facilitating clear communication between departments. They act as stewards of Pingry's resources, reputation, and community safety, embodying the school's values through their visibility, attentiveness, and helpfulness.

Beyond front desk and entry point responsibilities, Operations Officers serve as "utility players" for the Operations team, supporting event setup and breakdown, responding to logistical or safety needs, and collaborating with Facilities, Security, Athletics, and other departments to ensure smooth daily operations and successful campus events.

This is a part-time position, working Monday through Friday from 2:30 pm to 7:30 pm, with occasional weekend or special event responsibilities. The role reports to the Assistant Director of Operations and is based primarily at the Basking Ridge campus, with occasional duties at other campuses as needed, based on the school calendar and operational requirements.

Responsibilities

  • Support the Assistant Director of Operations in delivering operational support across all areas of The Pingry School.
  • Maintain a working knowledge of Pingry's emergency response protocols, incident command systems, and emergency communications platforms.
  • Respond to operational challenges with calm, sound judgment, and the effective use of available resources.
  • Support the execution of monthly safety drills.
  • Provide a consistent and approachable security presence while maintaining strong access control to school buildings and grounds.
  • Conduct routine security rounds to assess potential risks and ensure the ongoing safety of the community.
  • Monitor surveillance systems and security cameras to identify and report any suspicious or irregular activity.
  • Implement visitor screening protocols for campus guests while maintaining a welcoming and professional demeanor.
  • Stay informed about daily campus activities and events, including who should be on campus, when, and for what purpose.
  • Serve as a front-facing representative of the school, greeting visitors, managing inquiries, and maintaining a welcoming and professional atmosphere.
  • Support Auxiliary Programs, Athletics, Facilities, and all on-campus events.
  • Support the safe flow and parking of vehicles during peak traffic periods on campus.
  • Model and promote The Pingry School's Honor Code through all daily interactions and responsibilities.

Qualifications

  • High school diploma or equivalent required.
  • Warm, professional, and approachable demeanor with excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail; able to manage multiple priorities in a dynamic school environment.
  • Demonstrated ability to provide courteous and effective front-line service to students, families, visitors, and colleagues.
  • Collaborative team player who contributes positively to a supportive and efficient operations environment.
  • Flexible, reliable, and willing to assist across a variety of operational areas - including reception, event support, and campus logistics.
  • Comfortable learning and using technology platforms such as Google Workspace (Gmail, Calendar, Docs), Ruvna, SchoolPass, and Milestone X Protect.
  • Physically able to lift up to 50 lbs., walk long distances, and remain standing for extended periods as needed.
  • Quick-thinking, professional, and able to take initiative while maintaining calm under pressure.
  • First Aid, CPR, and AED certifications required (or ability to obtain following employment offer).

The salary range for this position is $18-$25/hour. Final compensation will be determined based on experience and education.
