Reporting to the Chief Operating Officer, Keno, the Executive & Business Support Assistant is a trusted partner who delivers proactive, high-quality support to enable effective and impactful leadership. The role encompasses executive support, business coordination, communication, and stakeholder engagement.

Operating in a fast moving and evolving environment, the role flexes in response to changing executive, business and organisational priorities. It goes beyond traditional administrative support, acting as an extension of the executive to help maintain momentum across priorities, manage information flow, and support effective decision making. The role plays an active role in the rhythm and delivery of business unit priorities, acting as a connector across teams, stakeholders, and the broader organisation.

What you'll do

Executive & administrative support

  • Provide high-level executive and administrative support to a C-level executive, including diary and travel management, preparation of correspondence, reports, presentations, and executive papers.
  • Act as a central point of contact for internal and external stakeholders, managing enquiries with professionalism and discretion.

Meeting, governance & business coordination

  • Coordinate meetings and executive forums, including agendas, papers, minutes, and action tracking.
  • Support governance processes and divisional activities by managing documentation, timelines, and compliance requirements.

Team & business support

  • Coordinate business and team support activities, including onboarding and offboarding, divisional communications, invoice and expense processing, and management of shared resources.
  • Provide ad-hoc support across the executive office as required.

Prioritisation & problem solving

  • Manage competing priorities, support special projects, anticipate issues, and proactively recommend solutions to ensure smooth executive operations.

Technology & AI enablement

  • Leverage AI tools and digital solutions to improve efficiency, streamline workflows, and enhance the quality of executive outputs.

What you'll bring

  • Experience in a senior executive support role supporting C-level or executive leaders.
  • Demonstrated experience providing high-level executive, administrative and operational support, including preparation of executive papers, board or governance documentation, reports, and presentations.
  • Proven capability in business support coordination, including coordinating activities, workflows, deliverables, and priorities across executive teams or functional areas.
  • Strong experience managing complex and competing priorities, including diary management, travel arrangements, resolving conflicting demands, and rescheduling meetings and commitments in consultation with stakeholders.
  • Experience managing financial administration tasks including invoices, purchase orders, and expense reconciliation.
  • Demonstrated ability to build strong internal and external relationships, working collaboratively across teams and with senior stakeholders to achieve timely outcomes.
  • High level of proficiency in Microsoft Office with the ability to quickly adapt to new systems and digital tools.
