Office Administrator
Ready to keep our office and people operations efficient? We're looking for an Office Administrator who thrives in getting things done! You'll ensure our space runs smoothly, assist different teams on daily operations and create a positive atmosphere for colleagues and visitors.
Your mission is "To be the backbone of our daily operations"
People Operations (~70%)
- Act as the first point of contact for our team on daily people-related matters.
- Coordinate onboarding & offboarding: workspace setup, accounts, welcome packs, introductions.
- Maintain vacation trackers, employee files, and HR records (payroll and contracts are handled externally).
- Support Management on recruitment coordination: posting roles, scheduling interviews etc.
- Organize internal communications: announcements, team updates, quick surveys.
- Plan team events, birthdays, small celebrations, and perks that strengthen our culture.
Office Coordination (~30%)
- Open and prepare the Athens office each morning, ensuring it's tidy, stocked, and ready.
- Manage supplies and consumables (kitchen, stationery, etc.).
- Coordinate with our vendors for cleaning, maintenance, and repairs.
- Greet occasional visitors and handle deliveries (mostly food orders or couriers).
- Keep the space welcoming, functional, and aligned with our company culture.
Skills and experience to unlock the role:
- 1-3 years of experience in office administration, reception, people ops and/or HR coordination
- Organized, proactive, and approachable - you like things (and people) running smoothly.
- Comfortable working in English & Greek
- Confident enough to greet our reception but be the backbone of our People Operations.
- You have good skills in MS Office (Excel, Word) using them to solve daily office tasks
- Be an organizational powerhouse with multitasking and prioritization skills
Bonus points for:
- Experience in a tech or digital services company, know-how on ERPs, CRMs or people management systems
- Previous exposure to people operations like onboarding or cross-departmental admin support
- Experience with event coordination, booking venues, or minute-taking
