Practice Manager- Ancillary Services

The Ancillary Services Manager at Swope Health oversees the strategic and operational leadership of the health centers ancillary departments, specifically Radiology, Laboratory (LAB), and WIC (Women, Infants, and Children) programs. This role ensures high-quality patient care, regulatory compliance, fiscal stewardship, and seamless coordination between clinical and support services across our community-focused health system.

Primary Functions Oversee Radiology, Laboratory, and WIC operations• Develop and implement standard operating procedures (SOPs) to optimise workflow, patient throughput, and turnaround times. • Monitor performance metrics (cycle times, error rates, patient satisfaction) and drive continuous improvement initiatives. • Ensure appropriate staffing models, credentialing, training, and competency assessments. • Collaborate with Radiology, LAB, and WIC leadership to align objectives with Swope Health's mission and strategic goals.

Strategic Leadership & Program Development • Create multi-department plans to improve access, throughput, and quality of care for the communities we serve. • Identify opportunities for service expansion, process optimization, and cost containment.

Quality, Compliance, and Safety • Ensure compliance with accrediting bodies (e.g., CMS, The Joint Commission, CAP) and state/federal regulations. • Maintain and enforce safety programs, infection prevention measures, and patient privacy (HIPAA) standards. • Lead incident reporting, root cause analysis, and corrective action plans.

Financial Management Ensure performance and budget alignment for Radiology, LAB, and WIC; monitor variances and implement corrective actions. Patient Experience & Stakeholder Engagement • Promote a culture of patient-centered care; address escalations and service recovery. • Foster strong relationships with clinical teams, ancillary staff, and external partners. • Communicate performance results and strategic plans to executive leadership and board members as appropriate.

People & Change Leadership • Recruit, develop, and retain a high-performing ancillary services team. • Manage performance through coaching, feedback, and formal evaluations. • Lead change management initiatives and promote a collaborative cross-functional environment.

Technology, Data, and Innovation • Champion interoperability between systems (PACS, LIS/LIMS, HIS, WIC nutrition software) to improve data flow. • Leverage data analytics to drive improvements in efficiency, quality, and patient outcomes. • Support tele-medicine, e-consults, and other digital health initiatives where applicable.

Educational Requirements Bachelor's degree in Health Administration, Nursing, Allied Health, or a related field; Master's degree preferred. Experience required in lieu of degrees.

Experience & Qualifications (preferred) • 5–7+ years in healthcare administration or operations leadership within Radiology, Laboratory, and/or WIC programs; prior management experience required. • Strong understanding of radiology workflows, lab operations, and WIC program requirements. • Financial acumen with budget development, forecasting, and revenue cycle awareness. • Knowledge of HIPAA, OSHA, Joint Commission standards, CLIA, CAP, and state regulations. • Demonstrated leadership, communication, problem-solving, and change management abilities. • Proficiency with electronic health records (EHR), PACS, LIS/LIMS, and data analytics tools.

Certifications & Licensure Requirements (preferred) • Certified Professional in Healthcare Quality (CPHQ). • Registered Radiologic Technologist (RTR) or relevant modality certifications (as applicable) Lean/Six Sigma or other process improvement certification
