HR Ops Specialist

Our mission is to make banking belong in business software. Many software companies already serve small businesses incredibly well: helping them send invoices, run payroll, manage inventory, and more. They're on a mission to become the central hub for managing every aspect of business life. But when it comes to financial workflows, there's still a gap. Too many critical tasks like managing cash flow, tracking payments, or reconciling accounts happen outside the software, across spreadsheets, email threads, banking portals. It's a missed opportunity. Business software shouldn't just record financial activity — it should run it.
Swan is looking for an HR Specialist to join its People team. As an HR Operations Specialist, you ensure operational excellence across payroll, compliance, employee lifecycle management, and HR data. In a fast-growing international environment, you combine payroll expertise, regulatory knowledge, analytical rigor, and ownership to guarantee accuracy, compliance, and continuous improvement.
Main tasks include:
- Manage end-to-end onboarding and offboarding processes such as employment contracts, addendums, affiliations to occupational health services and insurance and exit documentation
- Ensure strict application of French labor law, collective agreements, tax regulations and internal policies
- Maintain employee files and HRIS data with rigor, ensuring accuracy and data integrity
- Act as the main point of contact for employees on HR matters (sick leave, maternity/paternity leave, holidays, transportation, benefits), communicating clearly in both French and English
- Improve and formalize procedures for international hires (work permits, residence permits), ensuring legal compliance and operational efficiency
Payroll management includes:
- Manage rigorous payroll operations with external payroll providers, leveraging comprehensive knowledge of payroll systems, processes, and controls
- Prepare and validate payroll elements to ensure timely processing and a near-zero error rate
- Review payslips, final settlements and variable compensation with precision
- Contribute to payroll provider optimization, process improvements, and system efficiency initiatives
- Support HR Business Partners on complex administrative and compliance matters
- Contribute to cross-functional projects such as due diligence, compensation & benefits reviews, payroll provider optimization, and HRIS/tool integrations
Benefits administration includes:
- Oversee employee benefits administration (health insurance, lunch vouchers, transportation, sports allowance), ensuring data accuracy and compliance
- Guarantee proper payroll integration of benefits and maintain consistency between systems
- Actively monitor benefits processes and propose improvements when inefficiencies arise
HR reporting & data analytics includes:
- Ensure reliability of reported data through strong control mechanisms and structured analysis
- Maintain comprehensive HR dashboards: headcount evolution, absenteeism, payroll metrics, gender equality index, turnover, workplace accidents, and more
- Use data and analytics to monitor payroll and HR performance, detect patterns and anticipate risks
You're a great match if:
- You have 3+ years of experience in HR Operations with strong exposure to French labor law and payroll regulations
- You have comprehensive knowledge of payroll systems, controls, and best practices
- You have experience in a fast-growing, international environment
- You have hands-on experience with HRIS systems; familiarity with configuration, integrations, and troubleshooting is a plus
- You have strong organizational skills with the ability to manage multiple priorities simultaneously
- You are a clear communicator in both French and English, able to express ideas effectively in writing and verbally
- You are empathetic, solution-oriented, and comfortable challenging the status quo while leaving ego at the door
- You are curious, eager to learn, open to feedback, and committed to continuous improvement

In compliance with the EU Pay Transparency Directive (effective as of 2026), Swan is committed to fair and transparent compensation. Salary range: This position is classified as Level 2 in our HR grid. The salary range reflects our internal compensation structure and is based on market benchmarks for similar roles across Europe. For this position we offer a salary between 46,000 and 55,000 Euros gross per year. Annual reviews: We conduct structured salary reviews each February, considering performance, professional growth, and market positioning. Questions about compensation?
