Organization: SPMF-Sutter Pacific Medical Foundation - North

Position Overview: Provides a variety of routine and specialized clerical tasks required to help coordinate efficient and timely patient specimen collection. Supports laboratory activities related to the receiving, processing, reporting, and delivering laboratory test and results. Executes a variety of clerical duties, prioritizes information and requests in a timely manner. Gains confidence and cooperation from staff, physicians, and other healthcare providers. Adheres to all local/state/federal regulations, codes, policies and procedures to ensure privacy and safety.

Job Accountabilities:

  • Patient Support Services: Greets patients and their families using established practices. Obtains and verifies required demographic and insurance information and authorizations. Completes the patient registration process using information system(s) according to established policies. Verifies all insurance benefits to determine if insurance coverage meets the standards as stated in facility policy. Collects for self-pay portions of patient bills, including processing credit cards through POS systems. Coordinates and schedules patient appointments as needed and appropriately within electronic health record (EHR) system. Provides information to patients regarding specific requirements for test, examination or procedure
  • Lab Support Services: Receives and screens calls, messages, mail and email communications, and visitors. Processes lab orders for outpatients, releases results including pathology results taking into consideration department and organizational policy, accesses reports indicating test results, verbally provides information to physicians, physicians' office staff and/or patients. Verifies and releases appropriate and accurate orders from EPIC to Sunquest. Receives, processes, tracks and sends specimens accurately and in a timely manner according to established policies and procedures. Manages and distributes patient results and handles external inquires, scanning, gathering problem log data, add-ons and troubleshooting problems accurately in a timely manner according to established policies and procedures. Stocks work areas with supplies as necessary in order to assure appropriate operating levels.
  • Safety: Maintains a clean, neat, and safe working environment, by inventorying and ordering accessories and supplies periodically to maintain established stock levels. Transports or arranges for transport of supplies and equipment between units or departments as needed. Inspects and arranges for equipment repairs, monitors cost and needs for replacement.
  • Compliance: Maintains strictest confidence of all patients protected health information (PHI) and protects all PHI from accidental, intentional, or inappropriate disclosure. Performs all duties in compliance with department standards, policies, and procedures, as well as local, state and federal regulatory agencies to deliver the highest level of patient privacy and care. Retains and completes mandated continuing education requirements to meet departmental and facility requirements.

Education: HS Diploma: High School Diploma or General Education Diploma (GED)

Typical Experience: 1 year recent relevant experience

Skills and Knowledge: General knowledge of various medical terminology, procedures, views, and equipment. Written and verbal communications skills to communicate with fellow team members, supervisors, patients, and other personnel. Well-developed administrative, time management and organizational skills, including the ability to prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines. Basic knowledge of computer applications, such as Microsoft Office Suite (Word, Excel and Outlook), electronic health records (EHR), EPIC, and related information systems. Interpret a variety of data and instructions, furnished in written, oral, diagram, or schedule form. Prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines. Work independently, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions. Identify, evaluate and resolve standard problems by selecting appropriate solutions from established options. Ensure the privacy of each patient's protected health information (PHI). Build collaborates relationships with peers and other staff members to achieve departmental and corporate objectives.
