Coordinator, Partnerships Marketing

The Coordinator, Partnerships Marketing is charged with providing administrative support to the Corporate Partnerships Department, with primary responsibilities within the Partnership Marketing team. Working closely under the Senior Manager, Partnerships, plays a key role in supporting Sundance Institute's commitment to attracting, retaining, and engaging mission and values-aligned companies to support our work through financial contributions and otherwise.

While much of the day-to-day work may be performed remotely, this full-time position is based within a commutable distance to Boulder, Colorado in order to work onsite in a hybrid capacity as needed throughout the year. This role works extended hours, including evenings and weekends at key points and will require travel to Institute offices and events on occasion.

Top priorities include, but are not limited to:

  • Drafting and sending written correspondence and coordinating partner communications in regards to Festival and year-round updates.
  • Generating invitation lists for Festival and year-round events based on specific criteria provided by the Director and Associate Director.
  • Assisting in sharing the lab books with all respective Artist Program supporters once they have been created and approved by the Labs team.
  • Maintaining and updating department's internal and external timelines, acting as a liaison between the Partnerships teams and other departments regarding Institute-wide events, potential hospitality moments, and partner activations.
  • Maintaining and updating partners' recognition for the Institute website, lab books, and ensuring the execution of any other recognition benefits in Institute and Festival materials.
  • Supporting the development and execution of marketing partnerships across media, brand, and content collaborations.
  • Assisting in writing and designing compelling sponsorship proposals, presentations, and recap reports tailored to prospective and existing partners.
  • Collaborating with creative, content, and digital teams to develop and deliver co-branded assets across multiple platforms.
  • Conducting research on prospective partners, media trends and competitive landscape to inform strategy.
  • Supporting the Partnerships Sales team on new client outreach, and prospect management, specifically by monitoring the corporate giving email inboxes to field inquiries and requests.
  • Updating internal tracking documents including proposal materials for Corporate Partnerships, especially tied to the Sundance Film Festival.
  • Maintaining the department's Google Drive, including updating documents, saving historical data, and transferring documents to our Customer Relationship Management (CRM) database, Netsuite as necessary.
  • Supporting the Partnerships team, in tandem with Legal and Revenue Operations, in the finalization of contracts as well as ensuring the execution of sales order requests and invoicing.
  • Coordinating departmental tasks as assigned, including scheduling meetings, meeting notes, preparing materials, and liaising with partners and vendors, etc.
  • Assisting Partnership team at onsite engagements throughout the year, including during the Festival, and support with event preparation, donor cultivation, and stewardship opportunities.
  • Supporting administratively with department budget and expenses.
  • Supporting the Director and Associate Director of Corporate Partnerships with revenue reporting.
  • Supporting travel arrangements and expense reports for the Director of Partnerships as needed.

You have the following direct or transferable skill sets:

  • 2 years of administrative support experience.
  • An interest in working for a mission-driven nonprofit, marketing and media.
  • Strong interpersonal and written communication skills and the ability to work effectively with a wide range of constituencies.
  • Strong organizational skills and attention to detail.
  • Project coordination skills, with an ability to maintain multiple projects simultaneously.
  • Ability to maintain confidential information
  • Proficient in basic software programs (MS Office, Google Applications).
  • Experience working directly with high-level donors and other high profile individuals is a plus.
  • Knowledge of CRM Platforms (NetSuite) is a plus
  • Legal authorization to work in the United States.

*Final rate of pay is determined based on the applicant's geographic location, relevant experience and skills, and internal equity among similar positions within our organization.
