Administrative Business Process Coordinator

Serves as the primary administrative business process point of contact for the Forest Service unit. Responsible for the administrative oversight of various business processes, which may include inventorying property, human resources, travel policies/procedures and other administrative forms or documents for the unit.

Location: Rio Grande, PR

Schedule: October 1, 2025 - September 30, 2026

Key Duties and Responsibilities:

Performs day-to-day technical and administrative work for the unit. Areas of responsibility include advising leadership on status tracking logs, action items, and managing administrative suspense items. Develops and implements new systems or administrative processes to meet the unit's needs, such as tracking system, and file maintenance, etc. Identifying, restructures, and recommend ways of eliminating, combining, simplifying, or improving administrative and clerical office procedures and processes. Interacts with managers, supervisors, and staff members on matters related to administrative services by attending meetings, either a lead or supporting role, and serving on appropriate work teams/groups. Give briefings on administrative topics; schedules events/meetings as necessary. Uses computers and appropriate software for data collection, analysis and collating, supply management, facility/property inventory, maintenance contracts, human resource administration, travel procedures and regulations, understanding grants and agreements policies and procedures, paycheck and time sheets, safety and security support, scheduling of resources, transaction records, data processing, record keeping, mail, and files management.

Marginal Duties:

Accepts, examines, evaluates, routes, and maintains incoming communication, administrative email, and routine and sensitive correspondence. Examines outgoing communication for procedural and grammatical accuracy, correct attachments, dates, signature, addresses, and destinations. Independently prepares responses to inquiries on routine matters. Disseminates administrative information to employees and serves as a liaison for administrative support that is provided by other units. Maintains awareness of and communicates applicable laws, regulations, directives, and policies to unit personnel for administrative work. Ensures regulatory compliance for administrative work and assists in correcting problems that conflict with established guidelines and rules. Reviews and keeps informed about Federal and Agency-wide directives and procedures, their changes, and new requirements affecting the work of the organization. Updates employees on current human resource management policies, rules, and regulations. Works with local staff to process and document procurement requests for office supplies and equipment. Assists the unit as the contact for property management to ensure proper disposal/excessing of equipment. Participates in planning support work. Advice on procedural and documentation requirements for unit programs, plans, and annual progress reports. Answers questions on established policy or routine matters. Coordinates the processing of forms and reports for public information maintaining approval records for the unit. As requested, assists with scheduling conferences and meetings, including arranging logistics, preparing agendas, and notifying participants. Performs other duties as assigned.

Required Qualifications:

The work consists of various duties, projects, or assignments involving different and unrelated management or program analysis technical processes and procedures. Assignments or projects involve various actions or steps that are not completely standardized or prescribed in instructions, guidelines, or precedent cases; adaptation or modification of established procedures and methods; nonrecurring problems, trends, or issues; and various types and sources of information. The incumbent must frequently perform duties within short time frames, readjust priorities to meet changing demands, and deal with changes in procedures. The work involves providing a broad range of support activities for a Forest Service unit. Incumbent ensures the smooth operation of the unit's support activities, without which many aspects of the work of the unit would be impaired or curtailed. The work performed affects the accuracy and reliability of further processes and contributes directly to the overall image and effectiveness of the office.

This SCA Position is authorized under the Public Land Corps Authority. All participants must be between the ages of 16 and 30, inclusive, or veterans age 35 or younger. Participants must also be a citizen or national of the United States or lawful permanent resident alien of the United States. Hours served can be applied toward the Public Land Corps (PLC) hiring authority.

Preferred Qualifications:

Hours: 40 per week

Living Accommodations: Housing Not Provided. Housing allowance provided.

Compensation:

  • Living Allowance: $750 per week
  • Housing/Commuting Allowance: $1,050 per month
  • One-time relocation Travel Allowance: $800

All allowances are subject to applicable federal, state, and local taxes.
