Philanthropic Services Specialist

The Philanthropic Services Specialist provides analytical and operational support to three foundations within the health system. This role will work closely with the managed services vendor, Cause & Solution to ensure donations are appropriately applied to the various funds and donors receive appropriate credit for their contributions. This role ensures consistency and accuracy in data, gift processing, and reporting across the system.

Responsibilities

Database Management & Vendor Coordination

• Serve as the primary liaison between foundation teams and Cause & Solution for data-related needs including gift entry, list management, and reporting.
• Monitor data integrity across foundations by reviewing updates, identifying inconsistencies, and escalating issues to the Manager or vendor as needed.
• Assist in implementing and maintaining database policies and procedures that promote consistency and transparency across all foundations.
• Support data enrichment efforts such as contact updates, screenings, and employer information in coordination with the Manager and vendor.

Gift and Fund Management

• Facilitate the submission of documentation for all types of gifts (checks, online, ACH, in-kind, payroll deduction) to the vendor for processing.
• Review and support the production of gift receipts, acknowledgment letters, and pledge documentation.
• Assist in maintaining philanthropic fund records, including descriptions and balances, and support the creation of new funds as needed.
• Coordinate with Accounting to ensure accurate documentation for reconciliation and audits.
• Support the creation and management of online donation and event registration forms.

Reporting & List Management

• Collaborate with development and event teams across foundations to request and review reports and segmented lists from the vendor.
• Assist in tracking fundraising progress, donor pipelines, and trends to support strategic planning.
• Ensure timely and accurate delivery of data to support solicitation, stewardship, and event strategies.

Team Collaboration & Support

• Work closely with the Manager of Philanthropic Services to ensure alignment of practices and priorities across foundations.
• Participate in cross-foundation meetings and contribute to shared goals and initiatives.
• Support training efforts to improve data literacy and database usage among development staff.

Qualifications

Experience: 3 years professional experience in fundraising, sales, constituent relationship management

Education: Bachelor's Degree
