Office Services & Security / Facilities Coordinator

The Office Services & Security / Facilities Coordinator will perform a variety of tasks to include (but not limited) to direct the execution of Office Services and Facilities related tasks, projects, and other activities to maintain general office support, and ensure office operations run smoothly at all times:

  • Great and direct client visitors, vendors, & staff. Maintain Online visitor log.
  • Perform Administrative tasks (book conference rooms, redirect calls, and etc..)
  • Resolve Office Service-related request (i.e. Hot/cold request, Xerox Copy/Print – Multi Function Device service repairs, Aramark service repairs and etc…).
  • Order, organize and manage general office supplies and pantry inventories (i.e. WB Mason ordering of General Office Supplies, Aramark: pantry supplies and etc…).
  • Process Daily USPS Mail (outbound / inbound) and perform general administrative activities as needed (i.e., express mail services, filing and etc.…).
  • Update Serraview to provide monthly seating assignment updates, coordinate office moves, and furniture modifications as needed/or as directed by Facilities Management, assist supervisor/manager/director with local space planning as required.
  • Security access modifications / maintain the security access database (add: New Hire / remove: Terminations and provide access reports when required).
  • Coordinate local Fire Life Safety efforts for the office (to include: CPR/ AED Training, First Responder Training, Monthly AED Inspections).
  • Liaise with Facility vendors and local Property Management office as needed.
  • Address staff for Facility related concerns, escalate to Management when appropriate.
  • Reserve / Coordinate conference room schedule as needed (i.e. Town Hall meetings, special events).
  • Special Projects as needed (i.e. Records Management Week, Branding initiatives, Pantry Equipment Upgrades, Business Continuity, Operations SOP Documentation, After Hours Work, Additional Duties as assigned).
  • Complete I9 forms in Workday a timely manner for all new hires (within 24-48 hrs.) Location Specific (excludes Atlanta, Chicago, LA, NY).
  • Help to develop implement and maintain physical security protocols.

Principal Responsibilities for Security:

  • Advisor to management on physical security concerns.
  • Oversee service maintenance repairs, installation, upgrades, of security systems.
  • Serves as a company representative for onsite incident reports. Investigative and follow-up corrective actions if required.
  • Liaison with Property Management on security related requests or other security issues.
  • Conducts quarterly facilities physical security inspections and provide additional security recommendations when required. Prepare written or narrative reports of facility assessment findings.
  • Maintain an in-depth knowledge industry best practices, new security enhancements in regard to equipment standards and technology.
  • Provide product research, feasibility studies, project planning for physical security projects as needed.
  • Performs other duties as assigned (Fire Life Safety and Office Services related tasks).
  • Maintain the Facilities access controls databases through oversight of various physical security systems including badging / access control, CCTV, and alarms.
  • Maintain records pertaining to office safes, keys, Temp & Vendor badges, and etc.

Special Qualification:

  • Physical Security Professional (PSP) Certification preferred

Knowledge & Skills:

  • Working knowledge of National Security Program and Physical Security Directives.
  • Excellent oral and written communications skills required for correspondence, reports, and procedures, good verbal and listening communications skills.
  • Good interpersonal skills and a highly developed professional image.
  • Proficiency in Microsoft applications.
  • Knowledge of badging, access control and CCTV systems.

Physical Requirements:

  • Works in a normal office environment with controlled temperature and lighting conditions.
  • Ability to lift 50 pounds.
  • Requires ability to conduct physical security inspections.
  • Requires flexible hours and possible overnight travel at times.

Experience:

  • Three years' experience in security environment.
  • Two years' experience working with physical security management

Education:

  • Associates degree or higher in an associated discipline preferred.
