Sales Administration Associate

Spark Power, a trusted partner in energy in North America, is looking for a Sales Administration Associate responsible in supporting the sales organization through meticulous data management, analytical insight, and process coordination. This position is responsible for maintaining accurate and reliable sales data, ensuring CRM integrity, and generating meaningful reports that drive informed business decisions. The successful candidate will be highly analytical, skilled in identifying trends and insights from sales data, and dedicated to maintaining the highest standards of data accuracy and consistency. In addition to data driven responsibilities, this role supports administrative functions including customer documentation, communication coordination, and daily assistance to both field and corporate sales teams. What will you do as the Sales Administration Associate?

  • Provide administrative and operational support to the Sales team to ensure efficient execution of sales activities.
  • Manage incoming sales inquiries and route them to the appropriate team members.
  • Track open quotes, contracts, and pending customer requests to ensure timely follow up and closure.
  • Assist with scheduling sales meetings and travel logistics when required.
  • Maintain accurate and up to date information in the company CRM system.
  • Ensure integrity, accuracy, and consistency of all sales data through regular data entry, cleansing, and validation processes.
  • Generate weekly, monthly, and quarterly sales reports and dashboards with detailed analysis of trends, performance indicators, and opportunities.
  • Analyze key KPIs such as pipeline growth, conversion rates, and order processing time to support strategic decision making.
  • Maintain organized digital records of sales documents, agreements, and correspondence.
  • Support coordination of sales related meetings, project handovers, and internal updates.
  • Assist with onboarding packages for new sales team members by ensuring they have the necessary systems of access, documentation, and training materials.
  • Identify opportunities to streamline administrative workflows and enhance sales productivity.
  • Contribute to maintaining and improving sales procedures, templates, and documentation standards.
  • Assist with special projects and sales initiatives as assigned by management.

Do you have the Spark? Here's what we're looking for:

  • Post secondary education in Business Administration, Commerce, or a related field
  • Minimum of two years of experience in sales support, data administration, or coordination role, preferably in a technical, industrial, or service based environment.
  • Experience using CRM systems such as Salesforce, NetSuite or HubSpot and advanced proficiency in Microsoft Excel, including data analysis and reporting functions.
  • Strong analytical and problem-solving skills with the ability to interpret and communicate data insights clearly.
  • Exceptional attention to detail and accuracy in documentation and data entry.
  • Excellent organizational and time management skills with the ability to manage multiple priorities effectively.
  • Strong written and verbal communication skills.
  • High degree of technical proficiency and adaptability to new systems and tools.
  • Ability to work independently while collaborating effectively with cross functional teams.
