Job Summary:

The Human Resources Operations Coordinator plays a vital role in supporting the Human Resources department by ensuring smooth pre-employment and onboarding processes, managing essential HR documentation, and overseeing specialized hiring for programs such as summer camps. This position is responsible for coordinating incoming HR paperwork, maintaining accurate records, handling HR email correspondence, supporting compliance reporting, and contributing to process improvements.

Primary Duties and Responsibilities:

  1. Ensures all pre-employment conditions are met by verifying background checks, conducting degree verifications, confirming required documentation with departments, and ensuring requisitions are properly closed.
  2. Manages incoming paperwork for HR Operations. This includes reviewing forms for accuracy, verifying student enrollment when applicable, cross-referencing with hiring documentation, and preparing materials for data entry into HR systems.
  3. Oversees the hiring process for summer camp personnel, including determining background check requirements, confirming student enrollment for hired students, and working with departments to ensure all documentation is complete before camp start dates.
  4. Manages the primary Human Resources email inbox, reviewing incoming inquiries and submissions and routing them to appropriate HR staff. Additional responsibilities include providing operational support by investigating payroll direct deposit rejects, resolving discrepancies, and correcting employee data as needed.
  5. Assists with compliance reporting by preparing and submitting required state and institutional reports. This position also runs compliance queries, tracks document retention schedules, and maintains records to ensure accuracy and timeliness.
  6. Supports student employment programs by processing new hire packets and EPAFs, serving as a liaison with Financial Aid and campus departments on work-study eligibility and earnings, and supervising student workers within the HR office.
  7. Contributes to process improvements by updating HR forms, policies, and resources to improve efficiency and service delivery. The role also provides backup front desk support as needed and performs other duties as assigned.

Minimum Qualifications:

Associate degree in Human Resources, Business Administration, or related field from an accredited college or university and one year of experience in office coordination, business processes, or related experience; or equivalent combination of education and experience.

  • Basic knowledge of hiring, onboarding, and personnel recordkeeping.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency with Microsoft Office Suite (especially Excel) and email systems; willingness to learn HRIS platforms and related software.
  • Strong attention to detail with the ability to review documents for accuracy and completeness.
  • Excellent organizational skills with the ability to manage multiple tasks and track progress effectively.
  • Clear and professional communication skills, both written and verbal.
  • Ability to identify issues such as missing documentation and follow steps to resolve them.
  • Strong interpersonal skills with the ability to work collaboratively with colleagues, departments, and students.
  • Adaptability to changing tasks and priorities while maintaining accuracy and efficiency.
  • Eagerness to learn HR processes, systems, and best practices.
