Facilities Operations Specialist

South Carolina Federal Credit Union is currently seeking a Facilities Operations Specialist I to join our team of outstanding professionals in North Charleston, SC.

Duties include but are not limited to:

  • Assist with the development and execution of facilities and physical security strategies and expansion initiatives that support the credit union's business plan and the overall growth and strategic direction of the organization.
  • Service the Facilities/Physical Security Helpdesk telephone and email, as well as the emergency hotline, by responding promptly to inquiries and requests, troubleshooting issues, and implementing solutions according to operational practices and management's direction.
  • Support all Facilities/Physical Security projects and activities, to include, but not limited to coordinating vendor maintenance activities, fulfilling facilities requests, assisting with purchases, and providing preliminary research on projects and assistance during the implementation process.
  • Assist with facilities emergencies, which includes coordinating various tasks and providing prompt notification to the appropriate service vendors, management and staff.
  • Investigate, document, coordinate, process, and submit all insurance claims for physical damage and member medical liability claims. Prepare and submit monthly property loss report to Security Committee.
  • Identify and analyze real estate and other property taxes for all SC Federal properties to detect trends and discrepancies and report data to management.
  • Administer 'limited lines licenses' through CUMIS and the SC Department of Insurance for applicable employees, which includes distributing training guides, submitting applications, processing address and name change requests, and renewing licenses upon expiration.
  • Create various reports, presentations and communications as requested.
  • Act as the administrator for the Intranet/The Point by managing the department's public page and posting communications pertaining to Facilities/Physical Security efforts.
  • Perform various administrative tasks for the department, to include, but not limited to, researching, documenting, filing, copying, scanning, communicating, scheduling, planning, coordinating, etc.
  • Assist the team in retaining documents, such as contracts, agreements, leases, warranties, maintenance, etc., following record retention guidelines.
  • Assist the team with the development and maintenance of policies, procedures and guidelines that adhere to regulatory requirements and are consistent with best practices.
  • Order and maintain department supplies.
  • Retrieve and distribute the department's interoffice mail.
  • Provide support to other Facilities/Physical Security team members as needed.

Minimum requirements include:

  • Possess an associate's degree in a similar or related field or equivalent work experience.
  • Possess two years of similar or related experience.
  • Ability to coordinate purchasing necessities.
  • Ability to provide superior service.
  • Ability to communicate professionally and effectively both verbally and in writing.
  • Ability to simultaneously handle multiple task/priorities.
  • Ability to perform research and gather pertinent information.
  • Ability to perform work independently with minimal supervision.
  • Ability to adapt to a changing work environment.
  • Ability to effectively utilize Microsoft Office applications including Outlook, Word, Excel and PowerPoint.
  • Ability to effectively navigate and search the Intranet and Internet utilizing various web browsers.
  • Ability to perform a wide range of mathematical calculations.
  • Possess demonstrated interpersonal skills and the ability to work cooperatively with others.
  • Possess demonstrated time management skills.
  • Possess demonstrated organizational skills.
  • Possess demonstrated problem solving skills.
  • Possess demonstrated technical skills.
