Job Description

The Commercial Support Specialist – EMEA (m/w/d) plays a key role in supporting the sales organization across the EMEA region. This position offers comprehensive operational, analytical, and organizational support with a strong focus on the coordination of internal and external events, sales reporting, and the creation of dashboards as well as functioning as the primary interface between the field sales organization and internal stakeholders.

The role requires strong organizational skills, a service-oriented mindset, and the ability to work cross-functionally in a dynamic international environment.

Support in Sales and Events

  • Planning, organizing, and conducting internal sales meetings (e.g., annual kick-off meetings), including the selection of venues, negotiations with vendors, budget monitoring, and all logistics.
  • Supporting the sales and marketing teams in organizing external customer workshops and events, including the coordination of travel and related logistics.
  • Functioning as the central contact person for the field sales team to facilitate communication and coordination with internal departments.

Reporting & Process Optimization

  • Development, creation, and distribution of weekly and monthly sales reports as well as KPI dashboards for the sales leadership and the entire sales organization in close collaboration with the finance department.
  • Identifying opportunities to improve processes and workflows within the sales area and supporting the implementation in collaboration with the sales leadership.

Support of Sales Team and Office

Daily operational support of the sales organization, including:

  • Organizing and maintaining sales presentation kits and other equipment needed by the sales team.
  • Supporting the HR team in creating onboarding plans within the sales department.
  • Assisting in coordination with travel agencies and with travel process inquiries, acting as the main contact for the external travel agency.
  • Supervising and supporting the part-time receptionist, including responsibility for office administration tasks and the coordination of internal office events.

Qualifications

Education & Professional Experience

  • Commercial education, Bachelor's degree, or equivalent professional qualification.
  • 3–5 years of experience in sales or marketing support or in a comparable administrative role, preferably in an international or multinational environment.

Skills & Competencies

  • Strong organizational and time management skills with the ability to handle multiple priorities simultaneously.
  • Confident communication skills, ability to effectively interact with stakeholders at all levels, including senior management.
  • Proactive, practical mindset with a positive and solution-oriented approach.
  • Experience in cross-functional collaboration or a strong willingness to engage in such cooperation.
  • Proficient knowledge of Microsoft Office applications, particularly Outlook, Excel, PowerPoint, and Word.

Languages

  • Excellent written and verbal communication skills in English and German (mandatory).
  • Additional language skills such as French, Italian, or Spanish are advantageous.

Location

This is an on-site position in the EMEA headquarters in Bonn with the possibility of partially hybrid, flexible working after the probationary period – at least 3 days in the office are required.
